Job Description

This role offers a range of $70,000 to $85,000 annually. Actual compensation will be based on qualifications such as experience, education, certifications, and skills, as well as geographic considerations.

We are searching for a bilingual (Japanese) Executive Assistant with paralegal experience.This individual will be responsible for managing executive schedules, organizing meetings, handling correspondence, and preparing reports ensuring the smooth functioning of day-to-day operations. This person will need to be highly organized and a multi-tasker. The role also includes processing invoices, ordering office supplies, coordinating travel arrangements, assisting with event planning, and liaising with internal and external stakeholders. Additional responsibilities include maintaining filing systems and performing various administrative tasks as needed. Will report to the CEO and support the company's Executive Team. As Executive Assistant, you will be required to:

  • Manage and maintain the executive's calendar, scheduling appointments, meetings, and travel arrangements.
  • Coordinate and organize meetings, including preparing agendas, materials, and minutes.
  • Prepare expense reports, manage invoices, and handle other financial administrative tasks.
  • Handle confidential and sensitive information with the utmost discretion and maintain strict confidentiality.
  • Update organization charts and documents
  • Prioritize and manage multiple tasks and deadlines, ensuring that all assignments are completed accurately and in a timely manner.
Qualifications

To perform your job as expected, you will be required to:

  • High school diploma or equivalent; Bachelor's degree is a plus
  • 5 years' minimum experience as an executive assistant supporting C-suite or in a similar administrative role.
  • Proficiency in Japanese language (written and verbal) required
  • Proficient in using office software and tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Paralegal experience is required
  • Strong organizational, scheduling, and time management skills
  • Excellent communication skills both written and verbal
  • Proven track record of handling sensitive information with discretion and confidentiality.
  • Experience in travel coordination and event planning
  • Possess excellent interpersonal skills and the ability to create and maintain professional relationships within all levels of the organization.
