The Opportunity:

The Executive Assistant provides high-level administrative and operational support to the Chief Financial Officer (CFO) and the Accounting & Financial Management Office. This role is ideal for a proactive and highly organized professional with excellent judgment, strong communication skills, and a keen attention to detail. You will help ensure smooth day-to-day operations and support.

Responsibilities:


  • Organize and manage an executive level office and provide administrative support to the CFO, including calendar management, scheduling, and travel arrangements.

  • Prepare, review, and distribute professional correspondence including letters, memos, presentations and replies to general inquiries.

  • Coordinate administrative activities between the CFO and their directors, chairpersons, university leadership and other key stakeholders ensuring timely communication and follow-ups.

  • Assist with budget projections and management. Identify, research and explain budget variances. Prepare expense reports, purchase requisitions, and invoice payments.

  • Support special projects related to financial planning, audits, and operational efficiencies.

  • Perform general office management duties, including document preparation, records management, and inventory and procurement of office supplies.

  • Handle confidential and sensitive information with a high level of integrity and professionalism.

  • Assist in the preparation, organization and follow-up of committee meetings and financial reviews.

  • Oversee external reporting obligations, ensuring accurate and timely submissions of financial data and compliance with local, state, and federal regulations.

  • Maintain an internal information repository for financial and administrative documentation.

  • Provide peer training and develop resources to enhance internal knowledge sharing and process efficiency.

  • Perform other duties as assigned to support the efficiency and effectiveness of the Accounting & Financial Management Office.


Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.Click here for more information

Preferred Qualifications:


  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and financial management software, such as Workday.

  • Experience supporting executive-level leadership in a complex, fast-paced environment.

  • Excellent verbal and written communication skills.

  • Ability to prioritize tasks, multitask effectively, and meet deadlines in a fast-paced environment.

  • High level of discretion and ability to handle confidential and sensitive information appropriately.

  • Experience working with senior executives and managing cross-functional coordination.

  • Knowledge of financial terminology and accounting principles is a plus.


Special Instructions to the Applicants:

The anticipated salary for a well qualified candidate is between $48,722 and $59,684.
