The Technical Operations Specialist is responsible for the effective operation of information technology services and support within the Facilities Management team for our client. This role manages technology setup, access, hardware/software procurement, documentation, and training. It supports the team's current and evolving technology needs and serves as a liaison between internal teams and external stakeholders. SPECIFIC FUNCTIONS AND RESPONSIBILITIES: Technology Access and Onboarding Manage and update all access procedures for internal and external platforms. Request and configure all necessary access for new hires based on role-specific responsibilities. Meet with each new hire (Colliers or client) to ensure full software and login access. Follow-up with new hires during the first week to verify system functionality. Track onboarding progress from setup through completion Assist in streamlining onboarding processes to support future team growth. Procurement and Inventory Management Submit and manage hardware and software procurement requests (new hires, replacements, additions). Track and manage Client hardware throughout its lifecycle: purchase, deployment, return, redeployment, and retirement. Maintain inventory to ensure readiness for deployment. Facilitate deployment and tracking of loaner equipment when needed. Maintain warranty tracking and ensure timely utilization.
Technical Support and Configuration Provide timely support and responsiveness to all technology-related issues. Install and configure software, hardware, and applications. Maintain all software licenses and upgrade schedules. Act as liaison between Colliers IT, Client IT, and other relevant stakeholders as needed. Facilitate interactions between the Colliers Service Desk, Client Team Members, and the Client Technology Team. Documentation and Communication Maintain and update documentation for onboarding and training processes. Create and maintain guides and reference materials for frequently used software and applications. Communicate all technology announcements, updates, and training to the Client team. Host and lead IT training sessions as applicable. Technology Strategy and Compliance Track and manage all Colliers technology costs (hardware, software, security, etc.) to ensure accurate billback to Client departments. Develop and implement protocols for effective technology use across teams. Set up and maintain file-sharing and storage systems that are compatible with both Colliers and Client environments. Support leadership in evaluating and improving future technology processes. Lead by example and adhere to all established policies and procedures. Perform other duties as assigned. SKILLS, EDUCATION AND EXPERIENCE: College degree is preferred with a focus in computer science, software engineering, information systems, database management, or business administration. 3+ years' experience in a technology-focused role. Strong written and verbal communication skills; excellent time management and organizational skills. Proven problem-solving and analytical skills to identify and resolve technical issues efficiently.
Proficiency in: *Operating systems: macOS, Windows, iOS, and Android. Applications: Microsoft Windows 10/11, Microsoft 365, Teams, MS Office, Entra ID (Azure AD), MFA/2FA. *Tools: SharePoint, Smartsheet, Adobe Acrobat. Ability to work independently with minimal supervision and thrive in a collaborative team environment. Skilled in managing multiple tasks and handling complex details simultaneously. Ability to build strong relationships and communicate effectively across all levels. Capable of quickly learning and utilizing new or existing technology platforms. Ability to travel as needed - 10% or less.
