Job Description

Position Summary:
The BHS Faculty Support Assistant provides administrative, logistical, and operational support to faculty and students within the BHS program. This role involves event coordination, faculty assistance, student services support, and document management. The position also includes responsibilities related to curriculum updates, internships, and financial processing.

Primary Responsibilities:

Faculty and Student Support:

  • Assist faculty with administrative tasks, document preparation, and course materials.
  • Answer student phone calls and emails related to the BHS program.
  • Attend Student Services staff meetings to stay updated on student policies.
  • Support the Program Director in managing faculty needs and academic coordination.
  • Coordinate guest speakers for HLSC courses including sending parking passes.

CourseLeaf & Curriculum Updates:

  • Assist SoNHS programs in updating courses and programs in the CourseLeaf system.
  • Attend Curriculum, Faculty Steering, and Faculty Assembly meetings to track course changes.
  • Work with the Student Services Director and Associate Dean of Academics to ensure timely CourseLeaf submissions.

Service Learning & Internships:

  • Maintain and update the Service-Learning Master List.
  • Communicate with sites regarding participation and affiliation agreements.
  • Assist students with service learning and internship placements, ensuring all requirements are met.
  • Manage internship tracking, evaluations, and student communications regarding program expectations.

Event Coordination & Scheduling:

  • Schedule conference rooms, computer labs, and teleconference sessions as requested by faculty.
  • Assist in organizing and supporting school-wide events, including graduation and KC Prep.
  • Create and manage RSVP lists for events such as "Meet the Employer" sessions.

Document & Syllabi Management:

  • Collect and review syllabi for all programs before each semester starts.
  • Maintain and update BHS program documents and the BHS website.
  • Manage the BHS email inbox and respond to inquiries.

Financial & Purchasing Responsibilities:

  • Process expense reports, reimbursement forms, and purchasing requests.
  • Order business cards, classroom supplies, and manage pro-card purchases.
  • Track and report gift card usage for service-learning programs.

Additional Responsibilities:

  • Provide general faculty support, including making copies, preparing student scoring forms, and proctoring exams if needed.
  • Ensure contract affiliations are updated for internships and service-learning sites.
  • Assist with the creation and management of Smartsheet forms for tracking student progress and event coordination.
  • Other duties assigned by faculty or administrative leadership
Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills are acquired.

Preferred Qualifications

  • Experience providing administrative support in an academic setting
  • Strong organizational and communication skills
  • Ability to manage multiple tasks and deadlines efficiently
  • Familiarity with CourseLeaf, Canvas, and other academic management systems
  • Experience with event planning and faculty support
Anticipated Hiring Range

This is a full-time, benefit eligible, non-exempt, hourly paid position.

$16.72 to $22.00 per hour commensurate with education, experience, and internal equity.

Other Information

This role is primarily in-person and requires regular on-site collaboration with faculty, students, and administrative offices across the School of Nursing and Health Studies and UMKC.
