Job Overview

The Radiation Therapy Navigator is responsible for understanding and coordinating patient care across the oncology continuum under the auspices of a provider's prescribed Plan of Care and within the radiation therapist scope of practice. Educates and provides information and support to patients in order to guide and facilitate understanding of starting a radiation treatment regimen prescribed by the radiation oncologist. Coordinates efforts of the financial coordinator in the pursuit of financial prior authorization. Schedules initial simulation in accordance with written directives. Monitors various outcomes and participates in quality improvement activities. Contributes to and collaborates with health care team members to positively impact patient outcomes and patient experiences. The RT Navigator is recognized as a professional role model and clinical expert and promotes a professional environment that supports excellence and collaborative shared decision-making.

Serves as a liaison for all new radiation oncology patients about to commence on a radiation treatment journey, navigating the patient from written directive through to treatment start. This individual is the primary contact for new radiation oncology patients until treatment begins.

Minimum Qualifications

1. Associate of Science in Radiologic Technology (ASRT).

2. Certification in Radiation Therapy from the American Registry of Radiologic Technologists (ARRT).

3. Licensure by the Massachusetts Radiation Control Board.

4. Three (3) years of radiation therapy experience.

5. Current Basic Life Support (BLS) certification.

Duties and Responsibilities

The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned.

1. Reviews patients' chart to comprehend the patient's Plan of Care.

2. Works closely with the nursing team and financial coordinator, acts as the primary contact for any questions or clarification necessary regarding new radiation therapy orders, monitoring for timely acquisition of prior authorization.

3. Helps prevent delays in getting patients to their radiation treatments by monitoring timely compliance and reducing needless time gaps between all defined steps along the continuum.

4. Adds and maintains patient information regarding start of therapies to the shared database.

5. Guides the financial coordinator in the pursuit of prior authorization of appropriate code(s) required in order for the patient's radiation treatment journey to begin.

6. Initiates and maintains the Plan of Care worksheet, to be placed in the front of the patient chart as a hand-off to the Simulation Therapists.

7. Monitors for any additional appointment or educational needs and ensures needs are addressed by the appropriate entity(ies) prior to the initial simulation.

8. Maintains ongoing awareness of physician availability, nursing availability and radiation therapy team obligations across all treatment and simulation rooms.

9. Works directly with the Chief Radiation Therapist and/or Senior Radiation Therapist if any scheduling difficulties are encountered to ensure all simulations are scheduled in a timely manner consistent with the physician's written timeline.

10. Works closely with the Simulation Therapists to help expedite the on-site patient preparation process and room turn-over between procedures to ensure efficient workflow.

11. Schedules the patient's return visit for the verification simulation in a manner consistent with the defined timeline per the patient's needs and treatment modality requested, ensuring appropriate assignment to the correct linear accelerator and accurate hand-off to the treatment planning team.

12. Adhering to the defined business hours and template for each linear accelerator, schedules the temporary appointments in accordance with the physician's initial prescription and patient's time preferences / needs.

13. Acts as the liaison for all treatment-related coordination on the patient's behalf for concurrent or sequential therapies, such as chemotherapy and brachytherapy.

14. Contacts the patient to again review and provide clarification if any preparations are required for each daily treatment.

15. Maintains various databases, helping to monitor key metrics for billing compliance and measurable improvements.
