Your Impact
In this role, you will manage the administrative support for the Global Leader of Optimize and four other Directors as required. In addition to supporting senior leadership, you will also provide backup support for the Optimize Procurement Partner when required, ensuring continuity and responsiveness.
This role requires exceptional organizational skills, proactiveness, and the ability to manage complex priorities while operating with a high level of discretion. You will play a critical role in ensuring smooth operations by managing calendars, resolving conflicts, and making confident decisions on behalf of the leaders you support. You will be expected to build a deep understanding of functional priorities and translate them into relevant actions across multiple impact areas, ensuring that time and resources are allocated effectively.
In this role, you will be responsible for organizing and planning domestic and international travel, ensuring all logistics-from flights to accommodations and local transportation-are managed seamlessly through the firm's Travel Department. You will also prepare and submit time and expense reports promptly, reconciling reimbursement issues as necessary.
Your ability to foster strong relationships across the firm will be key to success in this role. You will develop and maintain effective, collaborative relationships with senior leaders, internal teams, and external stakeholders, ensuring seamless coordination and execution of day-to-day responsibilities.
You will also be responsible for coordinating key activities for our Miramar office. You will work in close collaboration with the Office Services Administrator to ensure seamless office operations and a productive work environment. You will also assist with planning and coordinating on- and offsite events, managing scheduling, logistics, communications, and budget planning. Additionally, you will play a critical role in onboarding new colleagues, ensuring they are welcomed, set up for success, and provided with the resources they need to integrate smoothly into their roles.

You'll work in our Miramar office as part of our Optimize team supporting a Global leader of Optimize. You will work with and collaborate closely with a wide range of stakeholders both within Optimize and the firm globally.

Your qualifications and skills
  • Bachelor's degree preferred or equivalent work experience
  • 5+ years of proven experience as a C-suite Executive Assistant
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment
  • Ability to interact with senior leaders and operate as an integral member of the team
  • Maintains confidentiality and handles sensitive information with discretion
  • Excellent attention to detail
  • Collaborative style and ability to adapt and incorporate input from various teams
  • High energy and responsiveness, with a focus on quality
  • Comfortable operating in a fast-paced, dynamic, and often ambiguous environment
