ESSENTIAL JOB FUNCTIONS

The Executive Assistant, Human Resources (HR) provides administrative support to the Chief People Officer (CPO) and coordination support as needed for key HR functions. This role is a partner to the CPO, integrated into daily HR team workflow and working with other Executive Assistants and teams across the company. A high level of confidentiality and collaboration is critical in this role.

OPPORTUNITIES YOU WILL HAVE IN THIS ROLE

  • Calendar management, often in collaboration with other Executive Assistants.
  • Planning and execution of meetings and events both on small and large scale.
  • Prepare and edit presentation materials (typically in PowerPoint) for senior-level meetings including Executive Leadership team and Board of Directors, and monthly HR All-Hands meetings; sometimes with limited direction.
  • Project manage key process timelines and orchestrate or support project team members' efforts as needed to ensure-on time completion of key tasks. This includes quarterly Board of Directors Organization and Compensation Committee materials driven by HR.
  • Maintain, track, and review reports relating to HR budget and expenses. Research and resolve issues relating to expense reports, purchase orders, invoices, etc.
  • Manage contracts and payments for ongoing vendor relationships.
  • Proactively monitor, triage and/or resolve issues as needed. Approach work proactively and with a problem-solving and partnership mindset.
  • Provide back-up support to other HR team Coordinators for tasks such as HR inbox responses to employee questions, interview scheduling, new hire onboarding, meeting room set-up, systems support, reporting to support the annual operating plan and other HR processes.
  • Coordinate travel arrangements for CPO; execute expense reports following company policy & procedures.
  • Stay on top of key deadlines and coordinate others to complete tasks or projects as needed.
  • Establish and maintain collaborative working relationships with HR team, business leaders, Executive Assistants, and key contacts, both internal and external.
  • Contribute positively to team culture. For example, suggest ideas for and/or plan fun activities occasionally. Encourage collaboration and communication across the team. Pitch in to support teammates where possible through workload peaks.
  • Maintain HR team site on company intranet, both as directed by other HR team members and proactively recommend changes/updates.
  • Administrative support for Inspire Gives, our company philanthropy program.
  • Maintain confidentiality in all work.
  • Oversee and ensure efficient and effective office procedures and work flow.
  • Work on special projects as assigned.
  • Perform other administrative duties as required.

WHAT YOU CAN BRING TO OUR GREAT TEAM

Required:

  • High school diploma or equivalent required.
  • Minimum of 6 years of experience providing administrative support to executives.
  • Experience managing/coordinating meetings, calendars, and travel.
  • Advanced proficiency in PowerPoint, Outlook, and Teams. Solid proficiency in Microsoft Word, Excel, SharePoint, Adobe Acrobat, and Concur or similar travel and expense systems.
  • Proven collaborative working style, with the ability to partner with individuals at different levels and with different working styles.
  • General technical aptitude for learning new technologies and leveraging technology wherever possible to streamline or improve processes.
  • Positive outlook with a problem-solving mindset.

Preferred:

  • Bachelor's degree preferred.
  • Minimum of 2 years of experience providing administrative support to C-Level Executives.
  • Experience working in HR and/or with a Board of Directors.

SALARY

The salary for this position is expected to be between $78,000 - $118,000 and will be offered at a level consistent with the experience and qualifications of the candidate. This information reflects the anticipated salary range for this position at the time of posting. The salary range may be modified in the future and actual compensation may vary from the posting based on various factors such as geographic location, work experience, education and/or skill level.
