Assignment Details: 8:00 a.m. to 4:30 p.m. Monday-Friday 8 hours per day, 12 months per year Minimum hourly rate: $26.15 Click here to view the wage schedule. Wages can be found in Appendix A. Primary Objective of Position: Manage the collection, maintenance, and dissemination of information from the public, non-public and district personnel to meet district, state and federal requirements in the areas of student registration, Open Enrollment, Parent Option Programs, weekly Enrollment Reports, Enrollment Projections and Skyward report request processing. Serves as the first-point of contact in these areas and must be able to interpret and convey detailed District, State and Federal policies through written and verbal means on a daily basis. Job Responsibilities:
- Coordinates, manages, and oversees new registration for in District and open enrollment K-12: design, order and assemble registration forms and track/follow-up on requests. Provide excellent customer service to current and prospective families. Establish and validate current and future residency issues and dates. Maintain procedures to track requests, communicate state rules and regulations and District procedures. Perform Skyward Data Entry. Acts as a liaison between new students/families and school buildings, district programs, and district services. Provides referrals to district departments and services.
- Creates, manages, and maintains accurate totals of enrollment and open enrollment students in order to obtain specific target numbers for student enrollment in each school, grade, and programs across all grade levels. Forecasts student enrollment, acceptance, withdrawals, and transfers to ensure student-teacher ratios and enrollment levels are maintained. Works with superintendent and building principals to hit enrollment targets, including student-teacher ratios and the adherence to enrollment levels.
- Provides data maintenance, interpretation, and support to the building principals, office assistance, superintendent, and district leadership regarding student enrollment. Maintains the enrollment cycle for the entire district.
- Maintains the District's student information system, including student enrollment, withdrawal, transfer records, grade retention, enrollment changes, address master, family maintenance, and emergency contacts. Notifies other departments/schools of changes as needed. Tuition Students requests, info, data collection, registration & funding. Foreign Exchange Student Registration & Skyward Entry. Parent Option Program (POP). Maintain Procedures to Track Requests. Skyward Maintenance of correct student path.
- Creates and maintains weekly, monthly, daily, and annual enrollment reports and membership counts for superintendent and district leadership.
- Maintains and interprets legal paperwork, including orders of protection, restraining orders, name changes, and custody disputes for students.
- Performs other duties of a similar nature or level.
Job Qualifications:
- Strong evidence of knowledge and experience with Microsoft Office applications, electronic databases and record keeping. Skyward Preferred
- Knowledge of the Minnesota Automated Reporting Student System (MARSS).
- Evidence of strong computer skills in Google Docs and Sheets, Microsoft Word and Excel.
- Evidence of knowledge in student database software. Skyward preferred
- Evidence of excellent interpersonal skills and ability to work under pressure on a variety of projects simultaneously.
- Evidence of the ability to work under strict timelines and to communicate clearly in a timely manner with supervisors about potential problems and suggested solutions.
- Evidence of excellent problem solving, analytic and organization skills with attention to details.
- Evidence of superior data problem solving skills.
- Demonstrated keyboarding skills of 50 wpm and excellent command of numbers.
- Evidence of excellent proofreading skills for data entry and reports.
- Ability to maintain confidentiality of student information at all times.
- Evidence of excellent oral and written communication skills, and interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.
