Job Summary

Manages or coordinates the administrative function(s) for the Assistant Director of Development Administration, leadership staff and corresponding areas and/or academic units with fundraising responsibilities. Has broad decision-making authority, judgement and independence, and originates new concepts or approaches, procedures, and directs their implementation. Oversees special functions, campus visits and events, and activities. Manages multiple calendars and scheduling as needed. May supervise and evaluate, as needed, the work of others and is highly accountable for the work of the unit. Works in collaboration with central and university-wide Administrative Support teams to provide high level operational support to Development leadership and Development team.

Oversees and facilitates specific activities/tasks/assignments for the department.

Manages project-oriented and event-related activities including planning, initiation, coordination, implementation, and evaluation.

Assists with coordination of resources in support of program direction and development. Provides additional support for event and program functions, as needed, such as scheduling, logistics, and concession.

Coordinates and schedules major Development activities, campus visits and events, together with university-wide partners, and coordinates their involvement in major University events. Briefs the Assistant Director and executive team on upcoming events, activities, and issues under consideration. Conducts relevant background research and collects information to prepare briefing reports for all upcoming events, travel, and meetings, as needed.

Interprets, monitors, and analyzes information regarding policies and procedures in adherence to University policies.

Resolves problems that have significant impact on the overall goals of the department, keeping all essential team members and leaders updated.

Prepares presentation, meeting, and event materials for use by others, editing content and adding appropriate graphic and design elements.

Composes and/or prepares correspondence, memoranda, collateral, forms, newsletters, manuals, and reports using appropriate presentation tools.

Coordinates, organizes, and maintains confidential files.

Participates in the interviews for all administrative/staff candidates and provides recommendations to the Hiring Manager.

Interprets administrative procedures and recommends new and improved programs to effectively manage

May supervise lower-level staff.

Serves as a Procard User for departmental transactions. Assures compliance and adherence to University credit card policies and procedures.

Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications

Bachelor's degree and three (3) years of office or related experience providing administrative support, or coordinating functions of an office or department.

Desired Qualifications

Experience with high-level support and management of multiple leaders

Experience working in a fundraising office.
