We're looking for a Site Specialist to join our team. Ideal candidate should be outgoing, able to interact with all levels of employee and management teams, host employee activities and maintain a progressive amenities and events program. Corporate Services (AD) consists of executive, professional, and support services in the areas of general administration, facility and real estate management, health, security, and secretarial services as well as external affairs and information services. Comprises other enterprise-wide functions such as trainees. EBC Management:
- Oversight and support for all Executive meetings in the Briefing Center; work with management team for room bookings, manage supplies in pantry; outside catering order and set-up; primary center host during meetings.
Conference Room Management:
- Provide support services for the conference rooms; room bookings; ensure supplies are stocked; catering is delivered and set-up, Working with IT Helpdesk to ensure audio/video is working properly before large and/or important meetings
Office supplies Management:
- Inventory, orders, and stocking supply centers
Lunch Program:
- Managing relationship with 3rd party lunch program vendor; budget tracking and reporting; usage reports; employee satisfaction
Snack program:
- Food and Drink orders, manage inventory, budget tracking, work with facilities team to ensure breakrooms are stocked
Site Events:
- Responsible for all site events. Preparing communication "flyers" for events; site notifications; event set-up and hosting
Gym support:
- Manage gym access list; ensure all employee documentation is in order; work with vendor for equipment maintenance; ensuring room rules are being followed
EV support:
- Manage Electric Vehicle charging program; manage requests and usage reports; work with facilities for any needed station corrective action or repairs
Workstation management:
- Working with facilities team perform routine building walks to ensure office areas are maintained and any required corrective action is reported and completed in a timely manner
Support additional ad hoc tasks related to site support
- Accountable for quality and accuracy of own output.
- Delivers own output according to specific operational targets.
- As an Individual Contributor: Participates as individual contributor to team, usually in a support role or entry level professional. Semi - routine or standard tasks. Decision making limited to standard applications in own work. Managerial/Supervisory:
- Ensures that most work is carried out according to procedures.
- Operates within guidelines for non-standard situations.
- Requires minimal supervision and coaching from SLM or peers.
- Gathers relevant information to support problem solving and decision making.
- Obtains and provides information to external or internal parties.
- Communicates information within the team in an effective way.
- Sometimes requires ability to influence team members of own job area on policies, practices and procedures
- Understand facts, practices, policies, etc. to external and internal parties
- Basic educational knowledge required. Degree or equivalent.
