The Department of Chemical and Biomolecular Engineering, in the Johns Hopkins Whiting School of Engineering, is seeking a motivated Grants & Contracts Analyst to support our innovative research activities.
Position Overview The Grants & Contracts Analyst will provide dedicated professional-level sponsored funds management for more than 80% of time with specific responsibility for pre- and post-award functions including, but not be limited to, proposal preparation, submission, budget development, account maintenance and oversight, billing/invoicing, reporting, compliance, and closeout. Analyst will work independently on a variety of grants/contracts that range from simple to moderately complex. While this role may assist with some aspects of non-sponsored funds, the primary goal of this position is to ensure timely, effective and efficient functioning of sponsored funding. This is an exempt position.
Job Scope/Complexity The Grants & Contracts Analyst will work independently the majority of the time, with primary support from senior/management level grant & contract professionals on increasingly more complex grants/contracts. The analyst will provide standard professional, administrative level guidance on protocols, regulations and guidelines to Principal Investigators and other scientific/research professionals within the department. The Grants & Contracts Analyst will also interact with external research/administrative professionals.
Types of sponsored awards for which the position is responsible This role functions at an intermediate level, with responsibility for independent management of simple to moderately complex grants/contracts, including those from the NIH, NSF, DOD, AHA, and a myriad of unique public and private sponsors. These grants and contracts may involve detailed budgets, including subawards, special instructions in the RFA, career awards, training awards, multi-project grants, complex foundation grants, and subawards from other institutions on their federal pass-through grants. Specific Duties & Responsibilities
- Partner with departmental faculty investigators to prepare research proposal submissions for a variety of federal, private agency/foundation, and internal sponsors, in close collaboration with the Johns Hopkins Office of Research Administration (JHURA).
- Understand and utilize institutional policies for pre-award grant process and sponsor guidelines. Advise faculty and staff of changes to sponsored research policies as they become available.
- Review for accuracy, content, and adherence to all relevant guidelines all research proposals prior to submission to the Administrative Manager and JHURA.
- Provide instruction, preparation assistance, and support related to grant application procedures.
- Serve as liaison between research units, central offices and funding agencies for Investigators and their research personnel.
- Prepare and assist Investigators with budget and budget justification development. Ensure that all applicable fringe benefits, indirect costs and other fees have been applied in adherence with funding announcement, agency, university, and/or department guidelines, in addition to evaluating for accuracy and completeness of content.
- Coordinate and monitor new award setup for accuracy and ensure personnel salaries are assigned appropriately.
- Monitor award activity through monthly account review and reconciliation. Recommend and transact appropriate action to resolve issues.
- Provide routine and ad hoc communications to Investigators and administration.
- Pro-actively ensure spending is compliant, in accordance with institutional and sponsor regulations, terms, and conditions.
- Independently complete post-award responsibilities including budget distribution, account reconciliation, subaward requests and invoice review/processing, vendor payments, journal transfers, and payroll.
- Provide information and direct assistance required to complete contract and grant closeouts.
- Manage workload to ensure that proposal submissions and other date sensitive activities are accurate, consistent, and punctual.
- Perform other duties as assigned.
Special Skills/Knowledge
- Knowledge of accounting and budgeting theory and practices required.
- Thorough knowledge and understanding of the Johns Hopkins University's accounting system and related fiscal offices preferred.
- Ability to make independent judgments and to act on decision on a daily basis
- Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines Knowledge of external Federal guidelines/procedures for grants and contracts, including NIH, NSF, DOD and NASA.
- Must possess strong organizational and analytical skills.
- Ideal candidate will be responsive, team-oriented, and able to work effectively with faculty, staff and students from a variety of diverse backgrounds.
Minimum Qualifications
- Bachelor's Degree.
- Two years of administrative/budgeting experience.
- Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
- Successful completion of the Research Administration Training Program (13-15 months) is equivalent to two years of relevant experience for this position. If an employee does not successfully complete the program, no additional experience will be applied.
Preferred Qualifications
- Experience managing large research projects.
- Demonstrated grant administration experience.
- Experience in liaison communication with internal and external stakeholders.
