Company Overview:
Minitab is seeking an experienced and dedicated Office Administrator to join our team at our Chicago, IL office. This key role ensures a professional, organized, and welcoming environment, directly contributing to Minitab's commitment to excellence through proactive problem-solving, attention to detail, and exceptional service. As the first point of contact for visitors, the Office Administrator will help foster a positive first impression, manage essential administrative functions, and ensure a secure and compliant workplace.

Key Responsibilities:




  • Executive Support: Assist with the timely and accurate processing of executive expense reports, ensuring meticulous attention to detail and prompt submission.



  • Vendor & Financial Administration: Manage a high volume of vendor forms, verify the accuracy of information, and ensure the efficient processing of documentation in alignment with company guidelines. Collaborate with the finance department on tasks such as preparing daily bank deposits, handling global vouchers, and processing invoices.



  • Cross-departmental Support: Provide essential administrative assistance to departments including legal, sales, and customer success, ensuring compliance with company policies and procedures.



  • Project Coordination: Track progress, maintain timelines, and support project deliverables across departments to ensure smooth operations.



  • Reception & Communication: Greet visitors professionally, manage incoming phone calls, and ensure smooth communication across the office.



  • Office Maintenance: Maintain office supply inventory and coordinate office maintenance to create a functional, efficient work environment.



  • Security Oversight: Monitor building access by verifying visitors, vendors, and customers in accordance with organizational security protocols.



  • Special Projects: Assist with various special projects and tasks as needed, contributing to the overall success and efficiency of the department.




Qualifications:



  • A minimum of three years of experience in an office administrative role within a business/corporate setting, supporting management and executives.
  • Highly proficient in Office 365 and skilled in professional communication.
  • Experience handling highly confidential materials with discretion.
  • Associate's degree in a related field preferred, or equivalent years of experience.
  • Notary public certification or willingness to obtain certification.
  • Ability to bend, stoop, lift, and transport objects weighing up to 20 pounds.
  • Occasional domestic travel required (less than 10%). This would be to our Headquarters office in State College, PA


Salary Range $70,000-$75,000

RETIREMENT PLANNING: A 401k Retirement Plan with T. Rowe Price is provided with eligible employee contribution immediately. Minitab will match dollar for dollar up to the first 6% of employee's contribution. Employees are fully vested in the Minitab, LLC 401(k) Retirement Plan upon date of hire.

PAID TIME OFF: Paid holidays, as well as 4 weeks of annual paid time off are provided. The annual paid time off increases one week every five years.
