POSITION SUMMARY
Under general direction, the Senior Program Coordinator & Advisor implements Advising and Outreach strategies to help Students achieve their educational goals, support timely graduation, and incorporate career and post-graduate planning into Academic Advising. They are responsible for coordinating and leading various activities including but not limited to Undergraduate Student Advising, Class Scheduling, Classroom Support, Extracurricular Activities, and other Program-related operations and functions of the Undergraduate and Graduate Programs within the Parkinson School of Health Sciences and Public Health.
The Senior Program Coordinator & Advisor reports to the Assistant Dean of Student Affairs and supports the Directors of the Undergraduate and Graduate Programs in their efforts to establish, implement, recruit, and evaluate desired Program outcomes. This Position will also work with Experiential Learning and initiatives for the Associate Dean of Academic Affairs.
This Position is based at Loyola's Lake Shore Campus ( LSC) but may require travel to the Health Science Campus ( HSC). While the Position will be primarily in-person, the opportunity to telecommute at least one day a week will be available after the Probationary period.
Duties and Responsibilities

Program Operations

  • Oversee daily operations for Undergraduate, Graduate, and advanced Bachelor's to Master's (ABSM) Programs.
  • Serve as the Primary Contact for prospective and current Students and Faculty in the programs, ensuring effective communication and collaboration. This includes establishing and maintaining positive relationships with all Stakeholders, including Students, Alumni, Staff, Faculty, University Departments, and external partner organizations.
  • Foster strong relationships with Students to support their academic and student life, including one-on-one meetings when necessary.
  • Provide classroom and Lab support including room reservations, classroom set up, inventory, ordering supplies and equipment, classroom technology support, etc.
  • Compile and analyze data related to course enrollment, student demographics, Application/acceptance rates, and Program outcomes. Extract data from systems like Power BI, SLATE, and other databases to generate reports. Respond to data and information requests from the Associate Dean for Academic Affairs, Program Directors, and Department Chairs.
  • Support Program Accreditation processes, including managing data, organizing self-study presentations, surveying Stakeholders, and coordinating site visits.
  • Develop and maintain Handbooks, policies, and Faculty resource guides in collaboration with Program Directors, and assist in formalizing other policies and procedures as needed.
  • Oversee, coordinate, and aid in executing Parkinson School events including, but not limited to Faculty/Student Socials, Orientations, Internship events, Induction Ceremonies, Honors Society Inductions, Internship Reveal Day, LUC Weekend, Loyola Weekend, Welcome Week events, Commencement, Celebration of the Magis, internal and external transfer Orientations, professional conferences, recruitment and Open House events, and more. Participate and assist in LUC events as needed.
  • Serve on Parkinson School and University committees.
  • Serve as a Liaison with Departments like Marketing, Catering, Conference Services, Campus Reservations, Campus Safety, and Facilities.
  • Perform other duties and projects as assigned, as needed.


ESSENTIAL DUTIES AND RESPONSIBILITIES
Enrollment and Academic Support

  • Coordinate and communicate with prospective Students about the admission process.
  • Collaborate with Admissions Committees and Departments on managing the Application and Admissions process.
  • Manage and advise Program plans for individual Students.
  • Oversee processes related to International Student enrollment.
  • Coordinate aspects of New Student Orientation and Onboarding.
  • Manage student matriculation processes (e.g., Dismissal Letters, LOAs, Withdrawals, Degree Conferral).
  • Utilize LOCUS for Student Advising, Class Scheduling, Class Enrollment, and more. Oversee curriculum-related processes (e.g., Course inventories, LOCUS changes, and Credit transfers).
  • Manage Program completion processes (e.g., Degree Conferral(s), eligibility for national credentialing exams, Commencement).

Marketing, Communications, and Events

  • Maintain up-to-date Program information on websites, social media, Sakai LMS, and other platforms.
  • Assist with marketing efforts for Undergraduate Programs and represent Programs at internal and external recruitment and School events.
  • Support Program Directors with Alumni communication and relations.
  • Lead the planning of events like Award Ceremonies, Faculty Retreats, Recruitment Fairs, and other events.
  • Manage Program operations such as Class Scheduling, Room Reservations, co-curricular and extracurricular activities.
  • Collect and track data on course enrollment, student GPA, and demographics.
  • Assist with Program certification and Accreditation functions.
  • Provide classroom and Lab support, including equipment orders and technology setup.
  • Work with Program Directors and Internship Coordinators to organize internship-related events.
  • Collaborate on creating marketing materials and recruitment resources.
  • Assist in evaluating curricular needs with Program Directors.

Academic Advising and Student Services

  • Work closely with the Associate Dean of Academic Affairs and Program Directors on student success and wellness, monitoring academic progress, completing Graduation Audits, identifying student concerns, and referring Students to University/PSHSPH resources.
  • Serve as the Primary Contact for Prospective, Current, and Alumni Students, providing Academic Advising and guidance on course selection, enrollment, Degree requirements, and career goals.
  • Help plan and present academic information during Orientation events.
  • Oversee internal transfer processes, including Information Sessions and Credit Evaluations.
  • Advise at-risk Undergraduate Students and draft Probation and Dismissal Letters with the Associate Dean.
  • Assist in developing retention strategies and initiatives.

Minimum Education and/or Work Experience

  • Bachelor's Degree from an Accredited College or University in a related field or 2 - 3 years of related professional Student Services experience.
  • Must possess strong organization skills, effective verbal and written communication skills
  • Must be able to take initiative and be proactive in student and program needs.
  • Demonstrated success with planning, coordinating, and implementing large and small-scale, detail-orientated projects and events.
  • Interpersonal skills to work well with individuals at all levels.
  • Sensitivity and commitment to confidentiality and University reporting requirements regarding student concerns.
  • Commitment to academic excellence, social justice and service, values-based leadership, diversity, equity, inclusion, and belonging.
  • Must be able to work well within a culturally diverse environment with the ability to handle all situations with tact, diplomacy, and honesty.
  • Position requires occasional early morning, weekend, and evening responsibilities.
