POSITION SUMMARY

Performs administrative and office support activities for supervisors which include complex and confidential projects requiring initiative and attention to detail and the ability to work in a multitasked environment.

REQUIRED KNOWLEDGE, SKILLS AND RESPONSIBILITIES

  • Must provide flexible, responsive, and high-quality customer service and interpersonal skills.

  • Understands the organizational structure and services provided by different departments to best serve stakeholders and constituents.

  • Must have excellent time management skills and the ability to multitask/prioritize work to support organizational needs to meet deadlines and timeframes.

  • Demonstrate intermediate proficiency in personal computer applications and good organizational skills with attention to detail and the ability to multi-task.

  • Demonstrate ability to work with confidential information with discretion and use independent judgement to handle non-routine information and explain policies and procedures to stakeholders and constituents.

  • Must have proven organizational, written, and verbal communication skills, as well as proficiency in writing and handling business correspondence.

KEY RESPONSIBILITIES

  • Provide administrative support/duties in a variety of functions to an organization and/or department by scheduling appointments/events/meetings, prepare and modify documents including correspondence and data entry along with maintaining electronic and hard copy filing systems as directed.
  • Build solid professional relationships and provide information across multiple levels of the organization and liaise with students, faculty, departments and external business entities.
  • Complies with standard Dallas College principles and procedures.
  • Respond to problems that require the use and knowledge of existing processes by utilizing resources and using sound judgment, attention to detail, adaptability, and flexibility.
  • Complete required Dallas College Professional Development training hours per academic year.
  • Performs other job duties as assigned.

PHYSICAL REQUIREMENTS

Normal physical job functions are performed within a standard office environment. Reasonable accommodation may be made for individuals with physical challenges to perform the essential duties and responsibilities. Occasionally you may be required to lift and carry materials weighing up to 30 pounds.

MINIMUM QUALIFICATIONS

  • Associate degree plus one (1) year of administrative work-related experience, or
  • High School diploma or equivalent plus three (3) years of administrative work-related experience.
  • Official transcripts are required when applicable.
  • Bilingual preferred.
