Position Overview:

We are seeking a meticulous and detail-oriented Payroll Analyst to join a growing company's team. The Payroll Analyst will be responsible for ensuring accurate and timely processing of payroll for employees across multiple states, adhering to legal requirements, and maintaining payroll records. This role requires strong organizational skills, proficiency in payroll software, and a deep understanding of payroll procedures. Accounting knowledge and multi-state payroll processing experience are essential for success in this position.

Key Responsibilities:
  • Process bi-weekly/monthly payroll for employees in multiple states, ensuring accurate calculations of wages, deductions, bonuses, and overtime.
  • Maintain accurate records of hours worked, employee leave, and other payroll-related data, ensuring state-specific rules and regulations are adhered to.
  • Ensure compliance with federal, state, and local payroll laws, tax regulations, and reporting requirements.
  • Prepare and file payroll tax reports and other related documentation on time (e.g., W-2, 1099, state and federal tax filings).
  • Review and update employee payroll data, including new hires, terminations, promotions, and pay adjustments, ensuring adherence to multi-state tax rules.
  • Maintain and verify payroll records and employee information for accuracy.
  • Perform payroll reconciliations and resolve discrepancies in a timely manner.
  • Collaborate with the finance team to ensure accurate accounting for payroll-related expenses, including employee benefits, deductions, and taxes.
  • Manage payroll processing and tax compliance across multiple states, ensuring adherence to different state-specific requirements, including local taxes, wage laws, and benefits.
  • Stay up-to-date on each state's changing payroll laws and tax regulations to ensure compliance.
  • Respond to employee inquiries related to payroll, including wage discrepancies, deductions, and tax issues.
  • Assist with the implementation of payroll changes and advise employees on payroll-related matters.
Required Skills and Qualifications:
  • Proven experience in payroll processing, preferably 2+ years in a payroll or finance role.
  • Strong knowledge of payroll software and Microsoft Office Suite, particularly Excel.
  • Experience with multi-state payroll processing and understanding of various state-specific payroll requirements and tax codes.
  • Strong accounting knowledge related to payroll, including expense tracking, reconciliations, and tax filings.
  • Strong attention to detail and accuracy.
  • Certification in Payroll (e.g., CPP - Certified Payroll Professional) is a plus.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
  • other business and organizational needs.

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
