Description

As an Administrative Assistant in the ESS Laboratory, you will manage the laboratory's billing and invoicing. You will also provide administrative support to the laboratory by performing a variety of tasks to ensure the department operates effectively.

Duties and Responsibilities:




  • Coordinating, generating and tracking invoices to ensure timely and accurate processing.





  • Reviewing/Updating project pricing to ensure proper billing





  • Generating Invoices for multiple divisions (ESS BAL AB Forensics)





  • Filing hard copies of COCs





  • Setting up New Clients





  • Working with Accounting to process prepayments





  • Documenting payments received at the lab





  • Interacting with clients regarding billing issues





  • Setting up new online invoice upload accounts





  • Uploading of invoices to different client platforms





  • Assisting the team with AR/AP as needed.





  • Electronic filing of emails / files





  • Entering BIDs into department software, Element





  • Keeping records updated with client changes





  • Processing PSRs



Qualifications


  • High school diploma or equivalent





  • Exceptional attentiveness to detail, with ability to learn and understand technical terms





  • Detail oriented, Ability to prioritize multiple tasks, work effectively with high volumes





  • Effective verbal and written communication skills.





  • Ability to practice discretion and good judgment and maintain confidentiality





  • Must possess good organizational, communication, and time management skills.
