Description

Metra is one of the largest and most complex commuter rail systems in North America, serving Cook, DuPage, Will, Lake, Kane, and McHenry Counties. The agency is linking communities in Northeastern Illinois by providing safe, reliable, and efficient commuter service.

Transportation is responsible for providing safe, efficient and dependable transportation to commuters on all Metra-operated lines: Milwaukee North and West, Rock Island, Metra Electric, Southwest Service, North Central Service and Heritage Corridor and those lines operating under purchase of service agreements: BNSF and Union Pacific. In addition to all employees directly involved in providing train service, the Transportation Department also oversees the Rules Department, Dispatching Office, Crew Management Center, Station Services, Customer Service, Ticket Services and GPS Center.

The Chief Operating Clerk will coordinate the MED- Metra Electric District's overall administrative functions.

  • Monitor all correspondence to ensure proper routing and timely reply.
  • Direct the work assignments for the clerical staff in the Metra Electric District Director's office.
  • Handle contacts and inquiries from the public and internal sources.
  • Oversee the proper maintenance of the district's general and personnel files and work records.
  • Maintain confidentiality of office communication and records.
  • Responsible for uploading district notices into Comply 365 system.
  • Prepare, distribute and award all TCU job vacancies for the district.
  • Review timekeeping activities for non-contract and selected TCU payroll for accuracy in coordination with timekeeper.
  • Maintain all seniority rosters for TCU employees.
  • Handle ordering and distribution of Trainmen's uniforms and maintain working relationships with contracted uniform company.
  • Prepare appropriate response as required for various labor appeals.
  • Prepare purchase requisitions for office supplies and equipment in D365 and IBM Maximo systems.
  • Review and submit T&E approved mileage reports.
  • Perform other related duties as assigned to meet the ongoing needs of the organization.

This is a Union position. Starting pay rates may vary based on entry rates in the Collective Bargaining Agreement (CBA).

Requirements
  1. High school diploma or GED.
  2. Must possess a minimum of five (5) years of previous administrative experience in an office environment.
  3. Must be able to type fifty (50 wpm)
  4. Experience using Kronos timekeeping.
  5. Knowledge of office protocols.
  6. Good customer service skills.
  7. Good organization skills.
  8. Good verbal and written communications skills.
  9. Must be proficient in Microsoft Office, specifically Excel, Word, and Outlook.
  10. Ability to multi-task and prioritize assignments.
  11. Must have good judgement and the ability to maintain confidentiality.
  12. Ability to work in a fast paced, stressful, time sensitive environment.
  13. Ability to lift and move up to 10 pounds.

Preferences:

  1. Supervisory office experience.
