Moog, Inc. is seeking an Executive Assistant

The Moog Space and Defense Group (SDG) is looking for an Executive Assistant who wants to work in a fast-paced, exciting, and growing organization. We are looking for someone to support three group vice presidents in our SDG Leadership team in East Aurora, NY.

This exciting role requires great attention to detail, great organizational skills, the ability to meet tight deadlines, and to juggle multiple competing priorities and requests across internal and external stakeholders. A high level of integrity, complete discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the group is important. The ability to be flexible and to change direction at a moment's notice is critical. You must have the ability to communicate well and to manage multiple assignments and people simultaneously.

You will be able to anticipate needs, highly organized, extremely detail oriented, self-motivated, as well as a demonstrated ability to respond effectively to changing workloads and priorities.

To be considered for the Executive Assistant role, here's what you'll need to bring with you:
  • High School Diploma or GED. Associates degree preferred.
  • Minimum of five (5) years of experience in an administrative capacity.
  • An Expert with Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
  • Ability to work with web-based and desktop computer applications.
  • Ability to prioritize work and create action plans independently.
As an Executive Assistant, you will be responsible for:
  • Provide primary administrative support for assigned business leaders, including managing the executives' calendars, proactively addressing scheduling conflicts, and setting up and maintaining appointments and meetings.
  • Prepare and edit reports, presentations, and other documents.
  • Manage expense reconciliation for assigned leaders in compliance with company policies.
  • Prioritize competing meetings, tasks, or projects with speed and agility.
  • Make all travel arrangements, ensuring travel approvals and expense reports are completed in a timely manner.
  • Coordinate on-site logistics for meetings and events, including conference room booking, catering and technology support. Quickly trouble-shoot issues as they arise to minimize impact to meeting efficiency and experience.
  • Organize, execute, and assist with team activities, events and off-site meetings(staff meeting agendas, all-hands meetings, off-sites, and team social events). This includes but is not limited to, working with external vendors to secure meeting space, event contracts, and ensuring all details are properly scheduled and managed for successful execution of events.
  • Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization and schedules.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Troubleshoot issues that require resolution through working with others across Moog or external vendors, as requested by the executives.

Salary Range Transparency:

Buffalo, NY $60,000.00-$80,000.00 Annually

The base salary range represents the low and high end of the Moog salary range for this position in the given work location. Actual salaries will vary depending on factors including but not limited to location, experience, and performance. The range(s) listed is just one component of Moog's total compensation package for employees. Other rewards may include annual bonuses, employee stock purchase plan, an open paid time off policy, and many region-specific benefits.
