$105K -125K /Yearly Reporting to the Regional Transportation Manager, the Transportation Manager III is responsible for managing all Transportation Department activities including effectively planning, organizing, leading, and controlling all functions and personnel of a Corovan branch location up to or exceeding $20 Million in annual revenue. This position will also plan for and organize required human resources, physical assets, and vendors required to achieve planned objectives. Develops effective service mechanisms and provides departmental leadership to ensure customer satisfaction. Responsible for continuous capacity increases to achieve growth objectives of the branch. Responsible for maintaining minimum departmental operating gross profit margin and labor ratios. Participates in setting and responsible to achieve all Corporate Business Plan Objectives set for the year. Responsible for P&L statement to the Gross Margin level. The Transportation Manager is also responsible for regulatory and safety compliance. They are responsible for reporting and escalating any issues about the department to the Regional Transportation Manager. ESSENTIAL DUTIES AND RESPONSIBILITIES: Managerial Duties:
- Effectively manage the transportation team of account managers, customer relation managers, coordinators, dispatch staff and all field service workers, providing leadership, motivation, development, training, and discipline in order to promote quality performance and achievement of financial and quality objectives.
- Develop performance standards to measure and give feedback to each Corovan employee and provide annual performance reviews to each team member including providing any necessary coaching and counseling. Ensures performance reviews for Klinger or Employer's Leasing personnel are provided at least annually by the Operations Manager.
- Accurately maintains Blue File Spreadsheet keeping it updated and providing accounting with billing instructions on all BID and TMQ projects. Achieves Blue File positive and negative adjustment objectives as outlined in financials and 26-week reports.
- Effectively manages and updates Fleet Utilization Reports and Equipment Control Spreadsheets to company standards weekly.
- Organizes and oversees the schedules of employees.
- Update monthly department SMART goals in the Ally software program. Act as a catalyst for change and improvement in performance and quality utilizing Six Sigma methodology. Ensure established policies and procedures are adhered to in accordance with company procedures and guidelines.
- Provide managerial leadership to the team and set a culture of engaging and respecting employees.
People Management:
- To hire, train, schedule, support, review, and coach employees directly accountable to his/her/their position and to maintain the highest possible level of employee morale and department productivity.
- Partners with Human Resources to handle feedback, coaching, discipline, and termination of employees in accordance with company policy.
- Manage timekeeping system approvals to ensure payroll and timesheets are accurate for their direct reports and manage exceptions.
- Partner with Human Resources to conduct performance management process to ensure timely reviews, with robust feedback and growth objectives, utilizing SMART goals and ongoing follow-up with employee check-ins.
- Engages in discussions with employee about promotions and career growth and schedules them in classes which improve their skills and job classifications. Maintains accurate record of COV class attendance
- Responsible to staff field service positions in compliance with company and branch growth profitability objectives. Includes participating in interviewing, hiring, training, discipline, and termination responsibilities.
- Partner with Human Resources to identify employees who are ready to apply for a promotion and complete the Career Mobility process for designated employees.
Financial:
- Manages against budget during the fiscal year to meet or exceed planned operations objectives, labor and expense ratios and gross profit margins by service line.
- Provides input in developing annual branch business plan and department budgets.
- Manages all vendors and contractors for quality performance and pricing. Also approves and codes all accounts payable invoices for the branch monthly.
- Reports all KPIs weekly on the 26-week report, and account profitability reports to VP of Transportation and adjusts to hit targets set for each category.
- Ensure the financial success of assigned site through properly staffing and managing headcount levels to optimize efficient productivity.
- Collaborate with the VP of Transportation to develop an annual operating budget for each location and forecasts as needed with the approval of the President of Corovan.
- Accountable for achieving facility KPI's, including paperwork processing, crew productivity, OT and unbilled hours, supervisor, and coordinator time billed, customer satisfaction and accuracy of ROI Account KPI's.
- Perform monthly/quarterly reports, as required in a timely manner.
- Responsible for reporting internal productivity numbers and benchmarks for all indirect reports.
Transportation Responsibilities:
- Ensures that all Lytx videos are coached according to policy and documented for performance improvement plans and driver and worker performance reviews.
- Ensures Driveroo is maintained for all daily driver VIR's and vehicle accidents working with the safety department.
- Accurately maintains 26-Week Report numbers posted correctly in each category prior to the bi-weekly meeting.
- Ensures all paperwork, billing, invoice, and payroll information is processed accurately and timely to meet all accounting and operations objectives.
- Personally performs a minimum of five (5) job quality inspections monthly and insures 15 or more are performed by the operations staff for a total of 20 per month.
- Responsible to hit Quality and On-Time performance standards for the division as set by Sr. Management. Personally reviews all ratings of 3 or lower and all "no" ratings for on time or courteousness directly with the customer who gave the report to improve next opportunity.
Partnering with Sales:
- This position will also work closely with the sales team to ensure customers' needs are met. Ensures all account requirements and project needs are handed off properly from sales to operations to ensure customer expectations are met.
- Ensures that transportation crews bringing goods in or out of the warehouse are handled quickly, safely, and efficiently. This will include oversight of transportation equipment, drivers, and team members.
- Aids salespersons on pricing O&I and Install projects, approving rates for ROI accounts and responding to RFP/RFI's as requested.
- Conducts pre-job walk-throughs, blue file meetings, planning sessions, and departmental meetings with sales, staff, end-users, contacts, and department heads to ensure total understanding of what is expected, how the plan will unfold and who is accountable.
Customer Relations:
- Interfaces with customers to resolve issues, walk and survey sites, and develop plans on how to set up accounts and projects for success and takes detailed notes at each meeting.
- Join Sales team to meet with customers to explain the operations, security and processes for transportation and warehouse.
- Act as point contact person for all Transportation escalation issues and resolve them in a timely manner. Must be courteous, helpful, and professional to all existing and potential customers, by interacting with customers in person and via telephone, fax, and email to ensure complete customer satisfaction in all matters related to the operation.
- Oversees ROI accounts by regular meetings with account managers, project managers, coordinators, salespersons, and customer contacts to ensure complete customer satisfaction and execution against company and customer account objectives.
- Coordinate and participate in warehouse facility tours for current and potential customers.
Employee Engagement:
- Aligning the culture of the department with the overall company strategy and structure. Is an advocate for the company culture. Builds effective relationships cross boundaries and supports other functional roles. Blends competence with caring and effectiveness.
- Ensure interactions with crew and customers are professional at all times to promote company's values and expectations. Sets a high bar for employee engagement.
- Assist with proactive engagements of employees to promote a positive work environment. Partners with Human Resources to respectfully manage any challenging employee issues.
Training:
- Oversee driver and crew training, customer service training, owner update meetings and safety classes.
- Participate and lead complex Six Sigma projects, as required by senior management to improve processes and efficiencies.
- Continuously promotes compliance with company policies and procedures.
- Lead training of employees using training sessions for crew members, including on-the-job training, so that employees have opportunities for career advancement.
- Promote Corovan's Mission and Vision Statements.
- Promote Corovan's ESOP and its commitment to the future of its employee owners.
Safety and Security:
- Deliver Corovan University training on transportation and other safety and listening meeting topics, including training crews to adhere to all safety rules; to include proper safety equipment PPE (back braces, safety shoes, safety glasses, masks, gloves, etc. required by the company or customer), drive forklifts safely (seatbelt, slow speeds, backing spotter requirements, ensuring trucks are chalked and using proper plates, etc.).
- Provides for the protection, maintenance and custody of company and customer assets through the adherence to Federal, State and Corovan safety and compliance standards by all production and operations staff.
- Delivers guidance and ensures adherence to work related injuries including workers on modified duty and Corovan's Return to Work policy.
- Ensures company vehicles (including golf carts & forklifts) are serviced and maintained per company policy and are driven ONLY by authorized and insurance approved qualified drivers.
- Ensures all drivers have active driver's license by monitoring the CA DMV Pull Program.
- Ensure a safe, clean, and secure working environment by establishing and enforcing transportation procedures.

- Must be familiar with and able to train others using COV University PowerPoint Slides and various moving equipment and its proper usage such as dollies, carts, pads, straps, pallet jacks, forklifts, ramps, lift gates, and all specialty equipment including but not limited to roll-a-lifts, Genie lifts safe jacks, J bars, etc.
- Must be proficient with Corovan's Job Notes Order Entry System including customer profiles, estimating, converting, planning, exporting hours, reports, and maintenance.
- Must be proficient with both Corovan's WebPortal software and Corotrak software and be able to conduct a customer demonstration of their capabilities.
CERTIFICATES, LICENSES, REGISTRATIONS
- Preferred to be a licensed and approved Class C driver and forklift certified, but not required.
- Must complete all levels of Corovan University training through PMIII.
- Must have successfully participated in at least three Six Sigma projects, preferably at the Black Belt level.
- Forklift certified.
EDUCATION and/or EXPERIENCE:
- Bachelor's Degree or equivalent of education and experience preferred.
- Eight (8) years of experience managing moving operations, dispatch, transportation crews, trucks, customer relations, and planning related to moves.
- Experience managing people in a commercial moving, logistics or supply chain required.
- Familiarity with shipment options, legal issues, government regulations, and safety procedures is required. Preferred knowledge of local transportation routes.
- Excellent Leadership capabilities with proven experience in recruiting, managing, engaging, and providing coaching to subordinates and team members.
- Excellent assessor of talent and ability to select and grow a successful team at all levels.
- Experience working and applying business improvement tools such as Lean Six Sigma and/or ISO preferred.
- Strong business acumen to include experience developing a strategy and implementing new business lines and/or products preferred.
- Experience using HRIS to enter and approve employee data.
- Intermediate skills in MS Office, including MS Word, PowerPoint, and Excel with the skills to create and format spreadsheets, write formulas, and produce pivot tables required.
- Valid California driver's license is required, Class C license preferred.
- Valid driving record that meets the company's insurance carrier's requirements.

POSITION TYPE/EXPECTED HOURS OF WORK:
- This is a full-time, exempt regular position with a minimum expectation of 40 hours per week.
- Employees might be required to work late evenings or weekends depending on the business needs.
TRAVEL: Employee will be required to travel to customer sites and all Corovan locations.
