Finance Manager - Office of the Provost

Carnegie Mellon University's Office of the Provost is searching for a Finance Manager to join their team. This is a new opportunity for someone who thrives in an exciting and challenging work environment.

As a member of the Vice Provost for Academic Budgets & Financial Planning, this Financial Manager will serve as a financial expert and administrative partner on a transformative grant from the Bill & Melinda Gates Foundation (BMGF). This individual is responsible for the day-to-day management of a multi-year $50M+ grant from the BMGF; liaising with academic and central leadership at CMU, BMGF, and dedicated project subaward recipients; the organization, preparation, coordination, and analysis of multi-year grant supported operating budgets; and the presentation and development of financial and administrative dashboards for internal and external constituents.

Note: this is a fixed term, grant funded position with an expected duration of 3-years.

Core responsibilities include:

  • Participate in Day-to-Day Financial Management & Planning. Analyze financial data and provide interpretive results on a wide array of financial matters, both routine or ad hoc in nature. Perform forecasting using analytical skills as part of the overall grant management process. Develop timely reports and assist in the preparation of planning and analysis presentations.
  • Financial Analysis, Forecasting & Reporting. Provide analytical support, financial analysis, and business advice to key internal (grantee) and external (grantor) stakeholders. Cultivate and lead forecast and financial management, including the monitoring of actuals and forecasts to budget, with both risk assessment and variance analysis. Leverage tools and reports to plan and monitor grant workflows, benchmarks, forecasts, and sub-recipient monitoring.
  • Cross Campus Engagement. Work cross-functionally across the University, on behalf of the Principal Investigator (PI) and the Vice Provost. Focus on communication, dissemination of financial reports and analyses to all levels engaged/supporting the grant. Develop and provide financial analysis to inform the Vice Provost, Academic Budgets & Financial Planning. Lead financial analysis including creating dynamic financial plans, project and personnel dashboards for discussion with internal and external constituents.
  • Subrecipient Monitoring - Reviews invoices from subrecipients to ensure invoices are within the parameters of the sub-award budget, and questioning expenditures if necessary. Requests clarification for unusual or excessive charges invoiced by the subrecipient above approved budget parameters. Maintains supporting documentation to allowability of costs and monitoring efforts. Assists the PI's in carrying out their subrecipient monitoring responsibilities.

  • Strong written and verbal communication skills that are appropriately right sized to relevant audiences.
  • Advanced Excel skills
  • Ability to meet deadlines, work independently under pressure
  • Ability to pay close attention to detail; keep and maintain accurate accounting and financial records
  • Ability to prioritize work and handle multiple tasks simultaneously

Qualifications:

  • Education: Bachelor's degree in Finance, Accounting, or other related field. Master's degree preferred.
  • Years of experience: At least 8 years of financial planning experience, or equivalent years of relevant experience. Strong analytical competence, especially financial modeling. Technical and complex grant management. Robust analytical, quantitative, and modeling skills for a broad variety of transaction types.
  • Expertise in developing, maintaining and managing dashboards and critical reports/visualizations, preferably with PowerBI.
  • A combination of education and proven experience from which comparable knowledge is demonstrated may be considered.
