Description

GENERAL FUNCTIONS:

This position supports the work of the Y, a leading nonprofit committed to strengthening the community through youth development, healthy living, and social responsibility. Under the direction of the Association Director of Business Operations and in accordance with Association policies, this role is responsible for managing and auditing all membership, program, and child care enrollment transactions. Responsibilities include processing membership and child care registration changes, financial reconciliation, third-party billing, maintaining accurate records, and providing exceptional customer service to members and families. This role ensures compliance with established policies and procedures while supporting the overall mission of the YMCA of Greater Waukesha County.

ESSENTIAL DUTIES AND RESPONSIBILITIES



  1. Utilize Daxko membership software to accurately process member and child care applications, renewals, terminations, class registrations, and payments.
  2. Audit all membership and program transactions daily to ensure accuracy and compliance.
  3. Process membership changes, including updates, terminations, and adjustments across the association.
  4. Organize, process, and maintain all child care and camp registrations, ensuring accurate recordkeeping.
  5. Prepare and distribute enrollment reports for child care and camp programs to communicate availability with front-line staff.
  6. Communicate payment reminders via email and phone calls and ensure past-due balances are collected in a timely manner.
  7. Prepare and submit third-party billing reports while maintaining ongoing communication with families receiving third-party support.
  8. Process any credits, refunds, or financial adjustments for membership, programs, and child care services.
  9. Address member and family-related questions, concerns, and issues, ensuring a high level of customer service.
  10. Assist in keeping branch staff well-informed regarding policies, procedures, and any processing errors.
  11. Ensure compliance with YMCA policies related to safety, privacy, and program regulations.
  12. Perform other duties as assigned.

Qualifications

EDUCATION AND EXPERIENCE:



  1. High school diploma or equivalent.
  2. Proficiency in Microsoft Word and Excel.
  3. Strong organizational skills and attention to detail.
  4. Excellent oral and written communication skills.
  5. Self-motivated with sound decision-making abilities and minimal supervision required.
  6. Ability to handle confidential information discreetly.
  7. Understanding of basic accounting concepts, including cash reconciliation, accounts receivable, and accounts payable.
