The Office of Federal Relations serves as a key conduit of information between federal lawmakers and Rutgers, working year-round to elevate the university's profile in Washington, DC.
The Office of Federal Relations manages the Rutgers Scarlet Service in Washington, DC (
RSS-DC) program.
RSS-DC provides meaningful public service internship experiences in non-profit or government offices to undergraduate students in DC. |
Posting Summary |
Rutgers, The State University of New Jersey is seeking a Unit Admin/Specialist Seasonal for The Office of Federal Relations. This position reports to the Senior Director of Federal Relations.
Among the key duties of the position are the following:
- Provides administrative support to the Senior Director and Associate Director.
- Manages office equipment and files such as the phone system, computer network, & paper files.
- Monitors of the department's expenses and ensuring timely payment to vendors.
- Maintains staff calendars.
- Books travel and processing both travel and non-travel expense reports.
- Resolves facilities issues.
- Sets up meetings between key federal stakeholders, their staffs and various officers, faculty, staff and students of the University.
- Plans and manages special events in an efficient and orderly manner.
- Assists with requests from key stakeholders, which require a courteous, timely and articulate response.
- Tracks legislation and attending Congressional hearings that are of interest to Rutgers.
- Represents the University at higher education association meetings in Washington, including holding leadership roles on applicable committees.
- Helps the University stay informed about higher education community trends and positions.
- Designs and implements communications strategies to promote Rutgers to federal stakeholders and advance university priorities, which includes maintaining the office website, social media presence, and disseminating information to the university community and federal policymakers.
- Guides the daily activities of all type 4 staff and type 9 interns.
- Provides logistical support for events by placing room reservations and food orders.
- Handles setting-up, staffing, and breaking-down events day-of.
- Provides financial support by processing expenses to the RSS-DC account and tracking the program budget.

Qualifications
Minimum Education and Experience |
- Bachelor's degree in a related field, or an equivalent combination of education and/or experience.
- Two years of relevant experience in an administrative function.

Certifications/Licenses |
- A valid driver's license would be required for this position; Use of personal vehicle in order to travel for business demands.

Preferred Qualifications |
- Knowledge of Rutgers University and New Jersey as well as event coordination and meeting planning experience.
- Familiarity with Capitol Hill and the federal legislative process.

- Excellent interpersonal, organizational and written and oral communication skills.
- Ability to work independently and as part of a team.
- Ability to develop and maintain positive professional relationships with federal stakeholders, exercise sound judgement and have a solutions and service-oriented approach to solving problems.
