1.0 FTE / 40 hours per week.

The Administrative Assistant - Quality & Population Health is responsible for providing administrative support to various departments within the Medical Division - Quality Management, Population Health, Language Services & Care Management. The Administrative Assistant is responsible for day-to-day administrative responsibilities of the various departments including meeting scheduling, sorting mail, answering phones, and approving invoices. The incumbent ensures delivery and high-quality reporting and outreach for various strategic initiatives.

The Administrative Assistant completes other duties as assigned by the Director of Quality & Population Health and the Care Management Department Manager. This position requires excellent written and verbal skills; strong analytical skills, prioritization, and organizational skills; computer skills; and excellent notetaking/transcribing skills. Primary direction, guidance and supervision is provided by the Director of Quality & Population Health with additional accountabilities to the Care Management Department Manager and Chief Medical Officer.

Job Specific Minimum Qualifications



  1. High school diploma or equivalent required. Associate degree from an accredited college in a relevant major; or equivalent combination of education and relevant experience is preferred.
  2. A minimum of two (2) to three (3) years of relevant experience in an office environment including customer service is required. Experience in a healthcare or insurance environment is highly desirable.
  3. Knowledge of and proven proficiency in the use of Microsoft Office applications including Word, Outlook, Excel, PowerPoint and Visio is required. Proficiency in SharePoint is preferred.
  4. Ability to learn and effectively use multiple computer systems including electronic medical record. Epic experience preferred.
  5. Knowledge of medical terminology preferred.
  6. Knowledge of mathematical concepts for spreadsheet, data entry, and analysis. Accurate and timely data entry skills.
  7. Ability to design and create general correspondence, memos, charts, tables, graphs, web page content, reports, etc.
  8. Ability to work collaboratively and as a member of a team within the department and at all levels of the organization.
  9. Ability to represent GHC-SCW in a professional and compassionate manner and interact effectively with others.
  10. Strong note taking/transcribing skills for meeting minutes.
  11. Excellent organizational skills, prioritization skills, and analytical and problem-solving ability.
  12. Ability to pay attention to details and to manage multiple tasks.
  13. Ability to work with minimal supervision.
  14. Ability to be flexible, meet deadlines, work under pressure, and manage changing priorities.
  15. Ability to work flexible hours as required.
  16. Ability to maintain confidentiality of all information required. Knowledge of or ability to learn HIPAA privacy requirements.
  17. Some travel may be required between various clinical and other service sites. If driving a vehicle possession of a valid Wisconsin driver license.
  18. Ability to bend, reach, lift, pull, and carry up to 20lbs occasionally required.
  19. Ability to speak and listen in person and on the phone required.
