Deductions Specialist

General Purpose: Responsible for researching and resolving customer payment deductions across all lines of business including Warehouse, Foodservice, and Direct Store Delivery (DSD). Works directly with our customers, brokers, and cross functionally with Sales and Trade Marketing to resolve open deductions timely and accurately, striving to exceed department benchmarks.
Duties and Responsibilities:

  • Secures and organizes deduction backup from customers via website, email, or by phone.
  • Accurately matches authorized deductions to planned promotions and submit repayment for any unauthorized claims.
  • Responsible for researching and resolving all types of deductions (i.e. promotional chargebacks, damages, shortages) in accordance with established policy and authorization limits.
  • Works with Accounting and Trade Marketing to ensure accurate General Ledger account coding is applied to resolved deductions.
  • Coordinate with Trade Marketing, utilizing Promotional Calendars to match and apply deductions accurately.
  • Ability to research, summarize, and present facts in writing and verbally to customers and internal sales team to dispute and collect unauthorized deductions.
  • Able to research and resolve any deduction regardless of the line of business to support a centralized team structure.
  • Identify ways to improve consistency and streamline processes.
  • Develop and maintain documentation for to use for training purposes.
  • Develop relationships to maintain and improve our internal business partnerships with Sales, Trade Marketing, and Finance.
  • Actively participate in identifying ways to work more collaboratively.
  • Coordinates and participates in reoccurring business reviews with Sales and Trade to share information relating to the deduction management process.
  • Keeps supervisor informed of activities that may require their attention.
  • Performs other duties as apparent or assigned



  • Bachelor's degree in Business Administration or related field and 1-3 years of customer service, accounting, or business admin experience
  • Or 2 year Associate's degree in Accounting, plus 3-5 years' customer service, accounting, or business admin experience
