Primary Purpose of Organizational Unit
The UNC Adams School of Dentistry Division of Craniofacial and Surgical Care provides a diverse approach to treatment for patients with craniofacial or oral and maxillofacial conditions, including those with multiple or complex oral health problems. The Henson Geriatric and Special Care Clinic provides specialized treatment for patients with closed head injury, epilepsy, rheumatoid arthritis, Alzheimer's disease, and more. The Henson Geriatric and Special Care Clinic delivers general dental services in the care of these patients and provides education for oral health personnel in the management and treatment of elderly and/or medically, physically or developmentally compromised patients.
Position Summary
The Clinical Care Team Lead's primary responsibility is to assist the Special Care & Geriatric faculty with clinical operations, patient care management and patient finances. This position ensures the efficient patient coordination of the Special Care & Hospital Oral Medicine group. This position is responsible for scheduling patients who require specialized treatment for organizing and coordinating the daily, weekly and monthly schedules. There are two components of this position: patient care and administration.

Patient Care - Assists with and oversees contacting referred patients and appointing them and registering them into all required systems. Assumes responsibility for all priority or emergent referrals especially complex cases. Frequently this task requires communicating with the referring doctors to obtain all the required diagnostic reports and scanning information into required systems so that files can be accessed by other staff. All relevant documents and information including faculty/surgeon notes must be communicated and disseminated in a timely manner to the insurance team for consultation charges. This position is responsible for this function in student, resident, DFP and hospital settings.

This position is the primary person responsible for ensuring Prior Approvals are submitted to insurance companies, managing their response, and communicating results to the patient and care team. This information will be disseminated to other providers involved in care and treatment of the patient.

Administration - This position is responsible for direct contact with patients and insurance companies to discuss treatment and collect deposits for OR clinic-based care prior to case requests and surgeries being scheduled with the UNC Hospitals Main and Ambulatory Surgery Center operation rooms through the Optime EPIC system. This position is also responsible for initiating, tracking, and processing laboratory cases and collection of funds. Assist the faculty/surgeon with correspondence and communication with referring health care providers.

This position is required to enter, maintain and submit all information and invoices for special programs (Ryan White, Veteran's Leukemia & Lymphomas Society patients), and will be responsible for running reports for special programs and their payors, while serving as the point of contact for all special programs within the healthcare system.

The Clinical Care Team Lead is responsible for ensuring templates and schedules are updated appropriately and is ultimately responsible for schedule management and utilization. Additionally, this position is responsible for ensuring staffing coverage for both clinic and OR based care.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Required Qualifications, Competencies, and Experience

  • Excellent communication, interpersonal, organizational, and problem-solving skills, and the ability to develop and maintain a positive rapport with patients, faculty members, management, team members, and referring providers is required.
  • Ability to adapt to a constantly changing environment.
  • Ability to maintain composure and professionalism when exposed to stressful situations.
  • Ability to understand financial consequences of each patient interaction and the opportunity cost of a negative first impression to the revenue and goodwill generated.
  • Working knowledge and experience with Microsoft Office Suite.
  • When appointing patients, expected to learn, understand and utilize knowledge of various medical insurance plans (participating and not participating providers).

Preferred Qualifications, Competencies, and Experience

  • Experience working in a medical practice or medical field with patient interaction, or an equivalent combination of experience and education.
  • Working knowledge of EMR software. (Specifically EPIC)

Special Physical/Mental Requirements
Ability to remain calm with a positive customer service attitude. Ability to assist clinical staff with patient transfers from wheelchairs/stretchers, assist with patient restraint when necessary.
