Housed in the UT Austin Department of Computer Science, Computer and Data Science Online (CDSO) administers an innovative suite of at-scale online master's programs offered by the University of Texas at Austin. CDSO's programs include the Master of Computer Science (MSCS), the Master of Data Science (MSDS), and the Master of Artificial Intelligence (MSAI). Forthcoming programs include a Graduate Certificate in Artificial Intelligence and Machine Learning. Priced affordably, built flexibly to accommodate working professionals and scaled to educate thousands, these programs extend the promise of advanced technical education to a wide student population.

Must be eligible to work in the United States on a full-time basis for any employer.

Purpose

Reporting to the CDSO Director for Online Programs, the Senior Academic Program Coordinator will oversee administrative operations and admissions for the unit's new Graduate Certificate program.

Responsibilities

Application Coordination and Lead Nurture

  • Serve as the primary point of contact for prospective students interested in the University's new AI Certificate program.
  • Proactively nurture relationships with prospective students through marketing activities, with an initial focus on writing, designing, and building emails within an email marketing system.
  • Provide personalized support, understanding each applicant's unique background, goals, and challenges to enhance their application experience.
  • Understand and use university databases to update and maintain accurate records in Salesforce, Smartsheet, and other department systems.
  • Assist the CDSO team with administrative duties related to launching a new academic program.
  • Collaborate with CDSO team and relevant product managers to develop and refine communication strategies, ensuring alignment with enrollment goals.

Program Coordination

  • Oversee Graduate Coordinator duties, becoming the primary point of contact for students in the AI Certificate program.
  • Provide in-depth information and clarification on program policies, rules, and regulations. Assist with enrollment, registration and financial processes relating to the certificate.
  • Manage student records, registration, and enrollment processes, maintaining accurate databases and ensuring compliance with institutional regulations.
  • Track and evaluate program effectiveness, retention, and outcomes. Share insights with faculty and utilize data to drive program improvements.
  • Update and maintain program documentation, student resources, and the program website in coordination with the CDSO team.
  • Represent graduate student interests in program meetings and campus-wide forums, such as the Graduate Coordinator Network.
  • Participate in occasional online information sessions and support tasks assigned by the CDSO Team.
  • Support CDSO Assistant Director with financial and administrative tasks as needed.

Ongoing Lead Nurturing Responsibilities

  • Continue to build and grow the CDSO lead nurture and recruitment operation for future applicant cohorts, including building/delivering webinars and phone outreach.
  • Collaborate with marketing and enrollment teams to refine strategies and provide data-driven insights for recruitment initiatives.
  • Monitor and analyze application performance metrics (e.g., lead management, conversion rates, student satisfaction), identifying and implementing strategies for improvement.
  • Attend and support recruiting events such as information sessions, office hours, industry trade shows, and professional conferences.
Required Qualifications
  • Bachelor's degree/equivalent from accredited university.
  • Two years of experience working with university students in an administrative or advising capacity.
  • Strong interpersonal and communication skills with a passion for supporting student success.
  • Experience in enrollment management, student advising, graduate coordination, or related areas.
  • Experience writing engaging web/email copy.
  • Ability to analyze and interpret application data to improve processes.
  • Familiarity with CRM and marketing tools such as Salesforce, Marketo, or similar platforms.
  • Willingness to adapt to a dual-role environment and balance ongoing lead nurturing with graduate program coordination.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Experience building email drip campaigns within email marketing platforms
  • Experience delivering informational webinars, including answering participant questions in live settings
  • Experience using internal UT student tracking and information systems
  • Experience using Salesforce
  • Demonstrated ability to exercise high levels of discretion and independent judgment in interpreting and implementing program, school and University policies
  • Demonstrated experience establishing priorities to meet critical deadlines as well as short- and long-term strategic goals.
Salary Range

$65,000+ depending on qualifications
