SUMMARY

The Executive Operations Manager plays a vital role in the smooth and efficient functioning of the Offices of the County Commissioners. This position oversees the County Commissioner's office operations, including event logistics, scheduling, and event briefings. The Manager acts as a liaison between the Commissioners, senior staff, and external stakeholders, ensuring seamless coordination and communication regarding event logistics for the County Commissioners.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Event Logistics and Planning

  • Coordinate and manage advance logistics for County Commissioner events, including site visits, public meetings, and ceremonial activities.
  • Conduct site assessments, coordinate with internal and external partners, and prepare materials for events.
  • Develop and maintain event timelines, checklists, and follow-up plans to ensure successful execution.
Scheduling and Calendar Management
  • In coordination with the Executive Assistant team:
    • Maintain complex calendars for the Commissioners, prioritizing engagements, resolving scheduling conflicts, and anticipating future needs.
    • Ensure cohesion between the Commissioners' individual schedules by aligning meetings with strategic priorities and coordinating with stakeholders, internal departments, and community groups.
    • Ensure Commissioners are briefed and prepared for meetings and events, providing necessary materials and context.
Briefings and Preparation
  • Prepare or oversee the preparation of briefing materials, talking points, and agendas for Commissioners in advance of meetings and events.
  • Coordinate with departments to ensure timely and accurate flow of information to the executive office.
  • Conduct research and compile data to support informed decision-making by the Commissioners.
Office and Administrative Management
  • Supervise scheduling and events staff within the Commissioners' Office, ensuring the team operates efficiently and professionally.
  • Oversee correspondence management, ensuring timely and appropriate responses to public and stakeholder inquiries.
  • Manage office budgets, procurements, and resources to maintain effective operations.
Liaison and Communication
  • Serve as a key point of contact for the Commissioners' Office, fostering positive relationships with internal staff, community leaders, and external organizations.
  • Ensure clear communication between Commissioners and County departments.
  • Represent the Commissioners' Office in meetings as needed to relay information or gather input.

QUALIFICATION REQUIREMENTS

Education and Experience

  • Bachelor's degree in public administration, business administration, communications, or a related field.
  • Minimum of 5 years of experience in executive-level administrative management, event coordination, or public sector leadership roles.
  • Skills and Competencies
  • Strong organizational skills and the ability to manage multiple priorities under tight deadlines.
  • Excellent verbal and written communication skills, including the ability to draft professional correspondence and reports.
  • High level of professionalism, discretion, and diplomacy in handling sensitive and confidential matters.
  • Demonstrated ability to work collaboratively with diverse stakeholders, including elected officials, staff, and the public.
  • Proficiency in office productivity software, calendar systems, and project management tools.
  • Preferred Qualifications
  • Experience in government or public sector operations.
  • Familiarity with the principles of event planning and logistics.
  • Knowledge of County government structure and functions.

PHYSICAL DEMANDS

  • Light physical effort with intermittent sitting, standing, and walking.
  • Comfortable working conditions but with some exposure to stress from problem-solving and liaising across departments and communities.
