Job Summary

Oversees and manages all Accounts Payable operations, ensuring alignment with District policies, procedures, and applicable federal, state, and local regulations. Leads advanced professional accounting tasks related to Accounts Payable, providing technical expertise and ensuring accuracy and efficiency. Directly supervises a team of ten, fostering a productive and compliant work environment.

Essential Functions

25% - Ensures that the Districts vendors are paid timely and accurately, adhering to and in compliance with District policies/procedures and federal, state, and local laws. Performs quality control checks on the work product of the Accounts Payable workgroup and ensures that adequate controls are in place to prevent fraudulent activity.

20% - Oversees, reviews, and directs work of staff. Provides orientation and training for new staff. Reviews and approves time worked for employees in District HR system.

20% - Serves as Subject Matter Expert for the Accounts Payable, Supplier Management and Travel and Expense modules of the financial system including troubleshooting system issues that arise, testing and implementing new functionality.

20% - Prepare accounting audit schedules, journal vouchers, reconciliations, and reports. Provide reports that track productivity to give feedback to staff and colleges. Responsible for escheatment of uncashed payables documents. Provide technical advice and service to internal constituents in a multi-department and multi-campus environment, including fiscal, IT and accounting staff. Work collaboratively with MCCCD staff to resolve problems, manage complex issues, and create reports, including research, analysis and recommendations for solutions.

15% Contribute to efforts to maintain an updated and accurate Vendor Master List. Collaborate with and advise college fiscal staff on matters of policy, procedures and processes.

Minimum Qualifications

Bachelor's Degree in finance, accounting, auditing or a related field and five (5) full time equivalent years of experience with the application of GAAP theory and practice, tax laws as they apply to accounting transactions and reporting, exposure to governmental accounting, and use of computerized accounting systems, and two years of supervisory experience.
OR
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Desired Qualifications
  1. Master's Degree in Accounting or Business Administration or related field
  2. Five (5) or more years of Accounts Payable experience in a high-volume environment
  3. Four (4) or more years supervisory experience
  4. Two (2) or more years' experience in a higher education or governmental environment.
  5. Experience in establishing cooperative working relationships with customers and peers
  6. Experience using, testing and implementing ERP Financial Systems

May be required to work evenings and weekends
May be required to sit for a prolonged period of time, viewing a computer monitor
