Position Highlights

Arizona Institute for Resilience (AIR) at the University of Arizona seeks a program coordinator to support day-to-day functions of a new professional master's program and three graduate certificate programs related to environmental and societal resilience, offered in partnership with College of Social and Behavioral Sciences (SBS) as the academic home. This position is supervised and supported by the AIR Associate Director of Professional Education, and will work directly with prospective and current master's program students, faculty and staff, Arizona Online, SBS Academic Affairs and Student Success team, and the SBS Marketing, Communications and Engagement team. This position has the unique opportunity to support students pursuing career goals in the fields of resilience, adaptation, and sustainability, from initial recruitment to alumni follow-up.

Duties & Responsibilities

Duties & responsibilities:

  • Graduate Student Success Coordination
    • Monitor
      new graduate student applications and admissions administration in the
      GradApp system in coordination with the Graduate College.
    • Coordinate new student orientation, professional development, and graduation events.
    • Assist
      graduate students with navigating administrative tasks throughout their
      course of study, including registration, plan of study, completion,
      leave, extension petitions, and other administrative support.
    • Monitor and approve graduate student progress using GradPath.
    • Update and maintain graduate program handbook as needed.
    • Maintain current and alumni student files.
    • Work with SBS staff to process graduate tuition scholarships, fellowships and placeholders.
    • Gain
      familiarity with on-campus support for graduate students (for financial
      aid, international student services, basic needs, etc), and refer
      students accordingly per needs and requests.
    • Advise on revisions to program policy and administrative processes as programs evolve.
  • Curriculum & Enrollment Administration
    • Maintain and update schedule of classes for Arizona Online and Main Campus masters and certificate programs.
    • Coordinate
      course details and catalog updates, including course/program add
      requests, course modifications, inactivation and related room
      reservations and changes.
    • Monitor scheduling, course and department enrollment data, analyze and report as requested.
    • Support students in course registration as needed.
    • Perform
      administrative tasks related to the daily operation of academic
      programs, including maintaining departmental files, course syllabi,
      course evaluations, book orders, change of grade forms, student surveys,
      etc.
    • Attend monthly SBS program coordinator meetings and required trainings.
    • Communications, Marketing and Recruitment
    • Develop
      in-depth of knowledge about PSM Resilience Practice and
      Resilience-related graduate certificates, and general knowledge about
      other University of Arizona graduate programs.
    • Develop
      and implement digital engagement strategy (social media and email) in
      coordination with AIR professional education team members, SBS and
      Arizona Online marketing teams, and marketing contractor.
    • Provide
      first response to leads, facilitate students finding best-fit program,
      and make referrals via Customer Relationship Management (CRM) Slate and
      GradSlate to programs as appropriate.
    • Respond
      to individual student requests and strategically reach out to students
      strategically through call lists, emails, or in person at all stages of
      the funnel to assure complete application submission and influence
      application yield.
    • Record all prospective student interactions in Slate and GradSlate CRM software.
    • Consult
      with SBS and Arizona Online marketing teams on ideas for lead
      generation through various channels including social media and digital
      advertising, and help implement campaigns as appropriate.
    • Attend
      recruitment events/conferences as appropriate, collecting all leads in
      Slate and GradSlate; work with Slate and GradSlate team to obtain event
      training, develop strategy for collecting and following up with leads;
      check out "conference in a box" from Slate and GradSlate team as needed.
  • Administrative Support
    • Collaborate
      with AIR operations personnel to execute logistics for events and
      meetings relevant to the academic programs and student success.
    • Serve
      as liaison to the SBS Dean's Office and multiple other central
      administrative offices requiring information related to schedule and
      course catalog, program development and assessment, and enrollment.
    • Provide support to AIR leadership in providing relevant information for unit level reviews.
    • Attend AIR monthly meetings.
    • Serve on various department and university committees as needed.
  • Additional duties may be assigned.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required and a minimum 3 years of relevant experience required.
Preferred Qualifications
  • Previous professional experience coordinating complex projects or programs
  • Previous professional experience in a public engagement role, such as community outreach or customer service
