Job Summary

Summary: The Human Resources (HR) Coordinator plays a pivotal role in supporting the HR department's daily operations and ensuring smooth execution of HR functions. The HR Coordinator serves as a key resource for employees and management, ensuring effective communication and adherence to organizational goals.

Essential Duties and Responsibilities:

  • Answers telephones, directs calls, takes messages and runs errands.
  • Prepares meeting agendas, attends meetings and records/transcribes minutes.
  • Completes work schedules, manages calendars and arranges appointments.
  • Opens and routes incoming mail, answers correspondence and prepares outgoing mail.
  • Compiles, copies, sorts and files records of office activities, business transactions and other activities.
  • Completes and mails bills, contracts, policies, invoices and checks.
  • Operates office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
  • Types, formats, proofreads and edits correspondence, reports and other documents.
  • Reviews files, records and other documents to obtain information to respond to requests.
  • Computes, records and proofreads data and other information.
  • Processes and prepares documents, such as business or government forms and expense reports.
  • Maintains and updates filing, inventory, mailing and database systems.
  • Communicates with customers, employees and others to answer questions; disseminates or explains information; takes orders and addresses complaints.
  • Troubleshoots problems involving office equipment.
  • Performs other duties as assigned.
  • Ensuring all Levy and Legal standards, such as I9 documents, are completed in a timely manner.
  • Conducting regular audits to verify compliance with policies and procedures.
  • Handling Team Member queries, requests, and updates.
  • Supporting managers in the accurate and timely completion of schedules.
  • Supporting recruiting and staffing efforts.
  • Acting as the primary point of contact for Team Member queries.
  • Supporting investigation processes where necessary.
  • Ensuring all Team Member information is accurate and up to date within the location HRIS system.
  • Ensuring the timely processing of all unemployment claims.
  • Managing uniform inventory.
  • Supporting managers in planning onboarding for new salary hires in line with Levy's #Bestdayever standards.
  • Maintaining and auditing Employee Files.
  • Other responsibilities and duties as assigned.

Job Requirements:

  • Able to communicate effectively with management team, guests and team members by speaking and comprehending English & Spanish (highly desired)
  • English reading, writing, math and computer skills required
  • Must be experienced with computers; to include Microsoft Office (Word, Excel and Power Point), Outlook, E-mail and the Internet.
  • Creative problem-solver who brings passion, enthusiasm and fresh ideas.
  • Proven track record of being organized, dependable and self-motivated.
  • Able to work independently and have the capacity to manage up and down.
  • Must be flexible with schedule and able to work different shifts
  • Possible job hazards include, but are not limited to; slips, trips, falls, burns, cuts and strains
  • Must be able to reach, lift, stoop, bend and perform extensive standing and walking (including stairs) throughout shift
