Contract Specialist/Legal Assistant

Job Type: Full Time

Are you detail-oriented, proactive, and ready to take ownership of contract administration processes? We are looking for a motivated individual with creativity, initiative, and the ability to work independently to join our team as a Legal Assistant/Contracts Specialist.


Key Responsibilities

  • Review purchase orders and handle contract amendments, close-outs, and other related documents, including bonds, insurance, and contract assembly.
  • Manage and maintain company contractor and engineering licenses.
  • Prepare and track departmental budgets, ensuring alignment with fiscal year forecasts and plans.
  • Organize and maintain legal department files, including tracking document expiration dates and uploading key documents.
  • Collect and manage confidential and proprietary financial and operational data for reports and presentations.
  • Collaborate with the corporate risk manager on insurance matters, including claims, certificates of insurance, and annual renewals.
  • Support the General Counsel with special projects and assignments as needed.


Qualifications

  • Bachelor's degree in Business or a related field (preferred).
  • Experience in a legal assistant, paralegal, or contract specialist role is a plus.


Skills and Abilities

  • Proficient in Microsoft Word, Excel, and PowerPoint; experience with Lotus Notes is a plus.
  • Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment.
  • Exceptional written and verbal communication skills with keen attention to detail.
  • Professional demeanor and ability to work collaboratively with various stakeholders.
