We are currently seeking an Office Administrator who will play a crucial role in supporting the seamless operation of employee devices, security onboarding, and administrative services within the organization. This role combines both administrative and technical responsibilities, serving as the primary point of contact for vendor support, overseeing office maintenance, and facilitating the administrative portion of onboarding and offboarding processes.



Role/Responsibilities/Qualifications

Key Responsibilities:

    Oversee the distribution of mobile phones and laptops for new employees during the onboarding process
  • Manage the cell phone and laptop release process during offboarding, including coordination of device returns
  • Serve as the point of contact for new employees, conducting office tours, providing Wi-Fi access, and ensuring they are set up for success with all necessary resources
  • Assist with coordination of new employee lunches and event setups as part of the onboarding experience
  • Manage relationships with key device vendors, ensuring timely procurement and device management
  • Regularly update and maintain vendor contact details in the team's records
  • Coordinate with building management for facility-related issues, including arranging fire drills and managing office maintenance requests
  • Ensure monthly asset data cleanup to maintain the efficiency and security of organizational data
  • Manage office equipment inventories, ensuring that all devices are working optimally and available when needed, primarily conference room setups
  • Oversee office supply orders, including coordinating Costco purchases and managing inventory of common office supplies
  • Facilitate large meeting setups, ensuring that equipment, technology, and space are properly prepared
  • Handle the collection, sorting, and shipping of mail, as well as managing office deliveries and other logistical needs
  • Order and coordinate lunches, catering, and event logistics for internal meetings, company-wide events, and team celebrations, including happy hours
  • Assist with employee requests and ensure a welcoming and well-organized office environment
  • Assist with ad hoc administrative tasks as needed to ensure the smooth running of day-to-day office operations

Qualifications:

  • Proven experience in an administrative support role
  • Strong organizational and multitasking skills
  • Ability to communicate effectively with both technical and non-technical teams
  • Experience managing vendor orders and coordinating shipping/mail
  • Proficient in using Microsoft Office Suite, cloud-based tools, and common office technologies
  • Excellent problem-solving skills and attention to detail
  • Experience working with building management or facilities-related tasks

Work Environment:

  • Office-based with occasional remote work flexibility
  • May require occasional travel for vendor meetings or office/site coordination

The typical salary pay range for this position is USD $65,000 - $75,000 per year plus a significant, company funded profit-sharing retirement savings plan. Individual pay is determined by many factors including work location, job-related skills, experience, and relevant education or training. This position is also eligible for a discretionary annual performance bonus and a full benefits package. (all included as part of package).
