Summary The Supervisor, Onboarding & Service Contracts will lead and oversee the onboarding of vendor service contracts as part of the new customer onboarding process. This Supervisor will provide a high level of knowledge and competency of contract terminology, financial practices, and concepts and will mentor/lead team members on this knowledge. This position has direct contact with a wide variety of internal and external customers as well as vendors. Strong written and verbal communication skills are a must with a demonstrated ability to effectively communicate complex matters in an efficient and accurate manner. This position advises and provides feedback and recommendations regarding vendor service contract terms, pricing, and conditions to internal departments and Site Leaders. This role is responsible for overseeing and auditing the accuracy and timely scheduling and billing of contracts being accrued and paid. This role requires working with cross functional teams to evaluate and provide fiscal analysis for site level vendor contracts and contract request. This position coordinates and communicates daily with internal departments and sites on issues related to vendor service contracts administration, financials, procedures, alternative offerings, requirements, contract information, amendments, and discontinued rate agreements. This position is also responsible for ideating, leading, and driving continuous process improvement initiatives within the Clinical Engineering Support group. Responsibilities Team and Field Leadership (50%) * Supervise the service contract onboarding process and ensure all necessary team tasks are completed in a timely manner. * Audit the accuracy and timely scheduling and billing data for contracts being accrued and paid. * Troubleshoot problems and resolve issues with the field. * Provide support to service contract onboarding analysts regarding vendor contract management. * Establish and maintain positive relationships with vendors, technicians, and internal departments. * Develop and deliver presentations to advise and train on internal contract processes, accomplishments, and cost savings. * Act as a resource to clients going through onboarding to address any questions or concerns that they have on the process and specific contracts. * Ensure team KPIs and metrics are being properly calculated and updated; work with the service contract onboarding analyst team to take corrective action if KPIs fall below acceptable standards. * Oversee and own team processes and procedures; ensure processes and procedures are being followed by all team members. Vendor Contract Management (30%) * Mentor/train onboarding service contract and data management analysts. * Assist in policy procedure review and updates. * Analyze client inventory and service contract documentation to determine contract coverage. * Review inventory and current billing to detect variances from previously provided data. * Provide technical advice and assistance regarding contract cost discrepancies, price increases, etc. * Respond to internal questions regarding contract interpretation. * Perform initial review of contract request and changes. * Summarize contract terms and conditions for internal management. * Partner with Legal, Operations, Credit and Accounting to ensure all inherited contract data is correct. * Handle multiple projects in fast paced team environment. * Interpret inherited vendor service contract requirements, obligations, and risks. * Confer with management on amendments. * Respond to internal questions regarding contract interpretation. * Coordinate internal operations meetings to discuss service contract strategy for newly inherited contracts. * Responsible for accurate service contract reimbursement. Continuous Improvement (20%) * Ideate and lead continuous improvement initiatives focused on vendor contracts, cost reductions, and departmental procedures. * Project Management and participation with projects associated with contracts. Management Expectations * Leadership: Provide clear direction to ensure collective achievement of goals and objectives. Create an environment of respect, collaboration, and open communication. * Associate Development: Identify and support development needs of direct reports and team members including connecting them to resources both internally and externally to ensure a culture of continuous improvement. * Associate Engagement: Create high levels of employee engagement by understanding organizational and personal drivers that impact drivers and developing action plans that deliver increased engagement. * Performance management: Set clear goals and expectations for teams, monitor, and enable performance and intervene with appropriate action when performance gaps occur and provide timely, honest feedback. Ensure that associates complete assigned actions by required deadlines. * All other duties as assigned. Skills and Experience * Minimum of 3 years of relevant experience dealing, preferably directly, with vendor service contracts. * Experience leading teams in a high pressure, dynamic environment is preferred. * Advanced Knowledge of Microsoft Office applications (Outlook & Excel required. MS Access preferred). * Working knowledge of medical equipment and clinical engineering in hospitals preferred. * Ability to perform customized financial research and analysis. * Excellent interpersonal and negotiation skills to develop and nurture relationships with suppliers, manufacturers, and internal department customers. * Attention to accuracy, detail, and thoroughness. * Ability to create a positive team culture and drive associate engagement. Education and Qualifications * Associate's degree in a related field or equivalent experience is required. Bachelor's degree preferred.
