Overview
The Center for Technical Assistance for Excellence in Special Education (TAESE) at the Institute for Disability Research, Policy, and Practice at Utah State University is seeking a Program Assistant III to provide event and general office support and process event/conference registrations. This position will provide support for the various events and conferences hosted by TAESE for various contracts.

Responsibilities
  • Provide event and general office support - 75%
    • Record and transcribe information in verbal and written parent surveys with a high degree of accuracy, including data entry.
    • Coordinate project materials for meetings/trainings, communicating with technical assistance specialist staff regarding priorities, progress, and deadlines.
    • Ensure all outgoing materials have gone through the TAESE proofing process.
    • Collate, copy, ship, and provide quality assurance for outgoing materials.
    • Provide printing and materials support for all in person conferences and training events, including printing name tags and conference signage.
    • Work with the lead TAESE Event Coordinator to ensure logistics and materials are prepared for in-person conferences and trainings.
    • Provide onsite registration support, as needed, for in-person conferences.
    • Build, monitor, and update registration websites and apps for various meetings as assigned by the TAESE Conference Coordinator.
    • Create reports for conferences and send messages/reminders to conference participants, speakers, and sponsors using TAESE conference software.
    • Assist with hosting, leading, and provide support for virtual meetings, as assigned by the TAESE Conference Coordinator.
    • Answer TAESE main phone promptly and courteously, routing calls, and accurately answering questions.
    • Meet deadlines and prioritize work appropriately.
  • Process conference registrations - 25%
    • Process registrations for TAESE conferences.
    • Answer registration questions via phone calls and emails promptly and accurately.
    • Process payments for meetings, including sending invoices and completing follow-up for outstanding invoices.
    • Post check payments and deposits.
    • Provide the TAESE Business Manager with information as needed to estimate conference income.


Qualifications
Minimum Qualification:
  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor's degree is required.

Funding Statement

The Institute for Disability Research, Policy, & Practice is one of the largest research and outreach centers at USU, and we are largely funded through grants, contracts, and fee-for-service programs. All staff positions at the IDRPP are contingent upon funding, and all senior staff at the IDRPP with graduate degrees are responsible for helping to generate funding to support our operations and growth.
