SUMMARY: The Documentation Coordinator will prepare and coordinate documentation for export transactions.

DUTIES AND RESPONSIBILITIES



  1. Responsible for preparing multiple sets of documents per day, which are then submitted to banks and/or directly to customers in 80+ countries.
  2. Responsible for working with shipping lines and freight forwards to obtain correct ocean Bills of Lading for each individual export shipment.
  3. Responsible for communicating with several international banks, certification agencies and custom brokers to ensure compliance with each shipment.
  4. Understanding and reviewing Documentary Letters of Credit to ensure documentation compliance.
  5. Responsible for tracking documentation steps as they pertain to each export shipment by using in-house data management tools.
  6. Communicating with internal operations and transportation departments on a daily basis
  7. Create insurance certificates on-line with company's insurance provider as required by the transaction.
  8. Participating in the billing process for each transaction, which includes understanding budgets, accruals and profitability.
  9. Assisting with internal controls, which may include checking final sets of documents in detail.
  10. Special projects and assignments as business dictates



SUPERVISORY RESPONSIBILITIES



  • This position has no supervisory responsibilities.



SKILLS AND QUALIFICATIONS



  • Bachelor's degree required
  • Excel skills
  • Previous documentation experience, not necessarily related to the forest products industry
  • Highly detailed oriented and open to repetitive tasks
  • Ability to juggle multiple tasks
  • Able to meet deadlines
