Administrative Assistant III- General Surgery

Description

As an Administrative Assistant III , responsbile for patients scheduling, admissions, and therapeutic procedures: obtaining insurance authorizations, answer, screen and respond to incoming calls, prepare all documentation, charts, encountering and other information needed for physician clinics, schedule patient needed appointments, x-rays, surgery, and tests. Prepare all necessary documents and forward to appropriate departments including insurance authorizations, charge documents and reconciliations and disability and worker's compensation forms. Explain charges to patients and assist patients with billing questions, communicated directly with department billing and Physician Support Services. Serve as a liaison between patients, physicians, nursing units and other UCLA departments. Prepare daily, weekly and monthly reports, as needed. Responsibilities also include but are not limited to:

  • Providing support in appointment scheduling
  • Pre-registration/ Patient reception, cash collection and other related duties.

Salary Range: $29.42-$42.14

Qualifications
  • Demonstrated basic knowledge of third-party insurances, government programs and other insurance agencies for purposes of assigning financial class codes and obtaining any necessary authorizations.
  • Ability to research medical diagnosis and procedure codes in CPT Code book and ICD-9_CM code book.
  • Demonstrated computer skills including word-processing, use of spreadsheets and data entry.
  • Ability to understand and correctly use technical terminology, correctly identify and extract data from hospital records, enter data on flow sheets or in computer and maintain study records.
  • Ability to communicate effectively with medical, nursing, and administrative personnel, both verbally and via written reports and memos.
  • Knowledge of University's Electronic Medical Record System.
  • Knowledge of Microsoft Office Programs including Word, Excel, and Outlook.
  • Skill and experience in composing clear and understandable written memos and reports using correct grammar.
  • Skill in prioritizing assignments to complete work in a timely and accurate manner.
  • Knowledge of UCLA School of Medicine and hospital nursing processes.
  • Skill in communicating with patients, families and referring physicians with diplomacy.
  • Ability to establish and maintain cooperative working relationships with physicians
  • Superior typing skills to prepare correspondence, reports and other written materials with speed and accuracy.
  • Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload and assignments, pressures of deadlines, and/or a heavy workload.
  • Ability to work flexible hours and travel to department clinics, as assigned.
