The RoleAspenTech is seeking a highly motivated, proactive, and detail-oriented HR Shared Services Specialist to join our team. This individual will play a crucial role in supporting our global workforce, focusing on executing compliant, streamlined, and efficient people processes. This is a hands-on, operational role that requires one to think broadly, communicate clearly and effectively partner across many teams.
As a key member of HR Shared Services team, this individual will be responsible for the execution of HR operational and administrative processes, and support for the Human Resources team throughout the employee lifecycle. In this role, the HR Shared Services Specialist will interact with employees and managers in support of our Medina, Minnesota office and help to support other locations within the US and globally as needed.
Your Impact
- Employee Lifecycle: Administer onboarding, offboarding, and internal mobility, ensuring a smooth and positive experience for new, existing, and departing employees.
- Accurate administration in Workday and other systems as required of key people processes meeting compliance requirements.
- Shared Services: Act as a point of contact for employee inquiries, triage and respond to inquiries, meeting SLAs and encouraging self-service solutions.
- Project Tasks and Support: Contribute to achieving organizational objectives through project and task execution as a lead on small projects and participant in others.
- Process Improvement: Continuously evaluate people processes, participate in identifying opportunities for improvement.
- Administrative Excellence: Own and execute administrative tasks related to onboarding (offer letter/contract creation and/or review), offboarding, employment verifications, Workday data entry, data reporting and audits with precision, ensuring all routine tasks are completed to a high standard and data integrity is always maintained.
- Documentation and Communication: Maintain a documentation mindset, ensuring processes and communications are appropriately documented and shared on our internal systems.
- A team player and exhibits "customer-first" thinking.
- Create and maintain personnel files.
- Support the analysis and reporting on HR metrics including exit interview and onboarding surveys.
- Other administrative and operational support as required.
What You'll Need
- 2 years of previous HR administration experience.
- 2 years of HR Systems experience (Workday experience is a plus), or technically savvy and willingness to learn many systems.
- Demonstrated expertise in prioritizing, multi-tasking, and performing assignments with minimal supervision.
- Excellent written and verbal communication skills.
- Known ability to exercise discretion, sound judgement, tact and diplomacy in all communications. Experience maintaining confidentiality of assignments due to the exposure to sensitive information and contacts.
- Cross-Functional Collaboration: Proven ability to work effectively across different teams and departments, fostering a collaborative work environment and achieving common goals.
- High level of proficiency in Microsoft Excel, Microsoft Word, PowerPoint, and Outlook.
