Overview

Virginia Cancer Specialists, an affiliate of McKesson Specialty Health and US Oncology, a leader in Cancer care, is seeking a Full Time Genetics Admin Assistant. Join an established community cancer genetics program that includes a team of 3 Licensed and Certified Genetic Counselors and 2 Medical Oncologists.

SCOPE: Under minimal supervision, provides administrative and staff support services for the department. Handles administrative tasks for projects, programs or processes specific to the operating unit served. Keeps records, statistics and files according to standardized procedures and requirements. Generally is the contact person for information on administrative processes. This is not a secretarial position. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.


Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Handles all administrative detail to support programs or processes under the direction of a manager. Includes handling requests for information, sending out routine letters and inquiries, answering questions, following up on problems or needed changes. Is included in discussions regarding processes quality and improvement.
  • Triage new genetics referrals.
  • Provides administrative support for special projects to include research, compiling data, preparing standard reports. Solves routine problems, referring more complex issues to the next level.
  • Schedule and coordinate genetic counseling appointments and labs.
  • Assist in the collection of patient family history information including family test results.
  • Manage and organize genetic counseling documents and pertinent medical records in the EMR prior to patient appointment.
  • Prepare chart notes and assist in genetic counselor documentation.
  • Optimize documentation by updating EMR templates when there are updates in guidelines or new indications.
  • Complete test requisition forms and assist in the coordination of genetic testing.
  • Handle administrative tasks related to insurance verification and billing processes.
  • Act as point of contact for partner labs, fielding questions and ensuring all necessary paperwork and forms are received.
  • Manage results including uploading into EMR and internal database and communicating promptly with genetic counselors
  • Act as a liaison between patients and the genetic counseling team.
  • Provide basic information to patients about genetic testing and counseling procedures.
  • Work closely with the Genetic Counselors to ensure efficient workflow and participate in weekly genetics program call.
  • Collaborate with other healthcare professionals within the practice.
  • Documents actions, processes and procedures supporting processes and programs. Uses and maintains databases and on-line records. Maintains accuracy of hardcopy and on line records.

Qualifications

MINIMUM QUALIFICATIONS: Associate's degree in biology or experience in medical office administration. Minimum of five years of office administration experience.

Preferred Qualifications: Associate or bachelor's degree in biology or related field, interest in pursuing genetic counseling, administrative office experience a plus
