Job Description

Omni Hotels & Resorts is seeking an Executive Assistant for the beautiful new Barton Creek Resort & Spa!

To handle all administrative duties as required by the General Manager and Executive Office.



Responsibilities

    Act as assistant to the Area Managing Director, and support to Resort Manager.
  • Handling confidential material and information.
  • Handle all travel arrangements and agenda coordination for AMD trips.
  • Handle all expense reports for AMD trips.
  • Extensive administrative duties and responsibilities; communication and distribution of daily/weekly/monthly reports and correspondence to corporate office.
  • Handling VIP's, corporate visits and ownership visits including booking transportation, room, meeting rooms, spa, golf, restaurant, cabana reservations.
  • Create and modify reservations in Opera as directed by the AMD or Executive Office.
  • Facilitate and book spa, golf, dinner, and cabana reservation as directed by AMD.
  • Send amenities and welcome cards to VIP's and special guests as directed by the AMD.
  • Daily check deposit of accounts receivables and distribution of mail.
  • Management of Outlook calendar schedules and appointments for the AMD and ensure that all directors and managers receive messages and appointments in a timely manner.
  • Responsible for obtaining signatures of approval for all internal and external routing of check requests, expense reports, project expenditure approval forms (PEA), performance evaluations and other confidential correspondence as necessary, and distribute in a timely and efficient manner.
  • Manage day-to-day guest, member and corporate guest relations as needed; including external guest and member correspondence and internal communications; Medallia Reports, Trip Advisor, Synergy input and Guest Alerts.
  • Maintain Gift Certificate Log to include value, purpose, and date issued and date redeemed. Assist in management of 'trades'.
  • Manage all donation requests with approval through the AMD.
  • Manage Executive Office employee recognition and OSC card distribution.
  • Assist with management of Cultural Reward Program.
  • Manage Monthly Leadership meeting details including deck creation and final oversight of completion and polish.
  • Strong adaptive analytical skills to include creating Exec Spreadsheets, Reading Financial Reports, working on multiple systems.
  • Participate in associate events and activities' committees within the resort.
  • Perform other duties as assigned by AMD and Resort Manager.


Qualifications

  • Relevant administrative experience, hospitality and/or customer service.
  • College Degree Preferred, High school diploma required.
  • Must have a high level of attention to detail and the ability to multitask.
  • Must be able to maintain a high degree of confidentiality.
  • High level of written and verbal communication skills required.
  • High level of computer proficiency; specifically with Microsoft Office (Excel, Windows, Outlook, PowerPoint and Publisher) required. Knowledge of Opera, Delphi, Synergy, Medallia, OneStream preferred.
  • The ability to work in a fast-paced high pressure work environment, while executing delegated tasks and assignments is required.
  • Highly motivated self-starter focused on quality, organization, integrity, guest service and teamwork is required.
